We are seeking a detail-oriented Payroll Specialist with strong union payroll experience to support our growing operations and ensure accurate, compliant payroll processing across multiple jurisdictions.
About the Role
The Payroll Specialist will be responsible for processing multi-state payroll with a strong focus on union environments and collective bargaining agreements (CBAs). This role serves as a key resource for union wage structures, deductions, and reporting, ensuring accuracy, compliance, and timely payroll delivery.
Key Responsibilities Payroll Processing
- Process regular payroll for union and non-union employees across multiple states
- Calculate wages, overtime, shift differentials, and premiums in accordance with CBAs
- Review and validate time and attendance data; resolve discrepancies with supervisors
- Maintain accurate payroll records and support audit requests
Union & CBA Administration
- Interpret multiple collective bargaining agreements to determine pay, benefits, and deductions
- Calculate and remit union dues, initiation fees, and other authorized deductions
- Track and report hours, wages, and benefits to union benefit funds
- Implement CBA updates, including wage increases, step progressions, and retroactive pay
Compliance & Documentation
- Ensure wage statements comply with all applicable regulations
- Assist with preparation of wage notices for new hires and employee changes
- Maintain payroll records in accordance with statutory retention requirements
- Support internal, external, and union audits with required documentation
Systems & Process Improvement
- Utilize Paychex Flex to process payroll, generate reports, and maintain employee data
- Identify opportunities to improve payroll accuracy and efficiency
- Collaborate with HR and Finance on reconciliations and reporting
Employee & Union Support
- Respond to employee inquiries regarding pay, deductions, and payroll matters
- Provide clear explanations of union-related payroll components
- Work closely with HR and union representatives to resolve payroll issues
Qualifications
- Minimum 3–5 years of payroll experience, with union payroll strongly preferred
- Strong understanding of collective bargaining agreements and union reporting requirements
- Experience processing multi-state payroll
- Proficiency with payroll systems (Paychex Flex experience considered an asset)
- Solid knowledge of payroll compliance, wage laws, and deductions
- High level of accuracy, attention to detail, and confidentiality
- Strong communication and problem-solving skills
- Ability to manage multiple priorities in a fast-paced environment
