Manhas Aesthetics is looking for a warm, organized Patient Care Coordinator to guide our patients through every step of their journey — from their first inquiry through consultation, treatment planning, and follow-up care. You'll be the first point of contact for our patients, combining outstanding customer service with strong organizational skills and a genuine passion for helping people feel confident.
Duties
PATIENT EXPERIENCE
- Welcome patients and create a five-star experience from check-in to check-out
- Respond promptly to phone calls, emails, texts, and social media inquiries
SCHEDULING & FOLLOW-UP
- Schedule consultations and treatment appointments efficiently
- Follow up with prospective patients to answer questions and help them move forward with treatment
- Manage appointment confirmations, recalls, cancellations, and waitlists
PATIENT EDUCATION & GROWTH
- Educate patients on available services, treatment plans, pricing, memberships, and packages
- Encourage patient reviews, referrals, and rebooking
OPERATIONS & COLLABORATION
- Maintain accurate patient records, consent forms, and documentation
- Collaborate closely with providers and the marketing team for a seamless patient experience
Technical Expertise
- Comfortable with booking/scheduling software and CRM tools
- Able to clearly explain treatment options, pricing, and memberships
- Basic understanding of medical aesthetics services is an asset
Interpersonal Skills
- Exceptional communication and interpersonal skills
- Friendly, professional, and polished demeanor
- Comfortable discussing pricing without making patients feel pressured
Qualifications
BASIC QUALIFICATIONS
- Patient care, medical aesthetics, hospitality, or customer service experience: 1 year (required)
- Highly organized with excellent attention to detail; comfortable multitasking in a fast-paced environment
PREFERRED QUALIFICATIONS
- Sales or customer service experience
- Previous experience in medical aesthetics, cosmetic surgery, luxury retail, or healthcare
