TPH Law is growing, and we're looking for an experienced Office and Legal Administrator to join our Team. The ideal candidate has strong experience supporting Small Claims Court matters, preferably with a focus on debt recovery or creditors' rights, and is equally comfortable managing day-to-day office operations, financial transactions, and client billing. Please Note: This is a fully in-office position. Candidates must be able to work on-site five days per week at our Markham office. Remote or hybrid arrangements are not available for this role.What You'll DoOffice Administration & Financial Support
- Mail Management: Process all inbound mail and ensure timely and accurate distribution to relevant departments.
- Bank Deposits: Complete daily electronic bank deposits and maintain accurate records of all transactions.
- Client Billing: Handle client billing and support related financial transactions with precision.
- Perform general administrative and office support duties as required to keep operations running smoothly.
Document Compilation & Preparation
- Compile and organize documentation packages for approved legal actions as directed by the Licensed Paralegal.
- Assemble supporting exhibits, evidence packages, and attachments for claims, defences, motions, and settlement offers.
- Prepare document briefs and organize materials for court hearings, settlement conferences, and trials.
- Ensure all documents are formatted correctly and meet court filing requirements.
Court Submissions & Filing
- File and serve legal documents prepared by the Licensed Paralegal with Ontario Small Claims Court, including claims, defences, motions, and other pleadings.
- Coordinate filing of out-of-province documents with local counsel or agents as directed.
- Track filing deadlines and ensure timely submission of all court documents.
- Obtain and process court-issued documents, including filed copies and court orders.
- Arrange for service of documents and coordinate with process servers as required.
Systems Management
- Update and maintain case information in system of record.
- Ensure accurate and organized digital file management across all platforms.
- Generate reports from system of record and client systems as required by the Paralegal or supervising lawyers.
Administrative Support
- Maintain and organize physical and electronic case files, ensuring all deadlines and procedural requirements are tracked.
- Schedule court appearances, client meetings, and internal case reviews.
- Liaise with courts, clients, opposing parties, and other stakeholders regarding administrative matters with professionalism and courtesy.
- Assist with incoming and outgoing correspondence related to case files.
Qualifications / What We're Looking For
- Previous experience in a legal administrative or office support role, preferably within a law firm or paralegal practice.
- Solid understanding of court filing procedures, deadlines, and service requirements.
- Highly organized and detail-oriented, with proven ability to manage a high volume of files and competing deadlines.
- Comfortable working with numbers, financial transactions, bank deposits, and client billing.
- Proficiency with case management systems, document management platforms, and standard office software (e.g., Microsoft Office).
- Excellent written and verbal communication skills, with a professional and courteous approach to clients, courts, and stakeholders.
- Ability to work independently and collaboratively within a team, taking direction from Licensed Paralegals and supervising lawyers.
- Reliable, proactive, and able to work on-site five days per week at our Markham office.
Pay: From $42,000.00 per year
