Position Summary: Under the direction of the Tech & Product Ops Lead, the Business Systems Automation & AI Analyst is responsible for identifying, designing, implementing, and maintaining automation and AI-enabled solutions that improve operational efficiency across the organization. This role leads the development and support of workflows using Microsoft Power Automate, n8n, Microsoft Copilot Studio, and related technologies, while supporting workflow engine rule maintenance and operational systems coordination.
The ideal candidate is passionate about process improvement, enjoys solving complex problems, and can translate business requirements into practical technical solutions. They are curious about applied AI and able to use it responsibly within a regulated business environment.
KEY Accountabilities:
1. Business Process Automation
- Design, develop, implement, and maintain automated workflows using Microsoft Power Automate, n8n, and other low-code automation platforms.
- Identify opportunities to automate manual processes and recommend scalable solutions.
- Develop integrations between Microsoft 365, SharePoint, email platforms, SFTP, APIs, and third-party applications.
- Build and maintain automations involving document routing, approvals, notifications, file transfers, and data synchronization.
- Monitor workflow performance and troubleshoot automation failures.
- Test, validate, and document new automations.
- Collaborate with business stakeholders to translate operational needs into automation solutions.
2. AI-Enabled Automation & Intelligent Processing
- Design and build AI-assisted automations using LLMs, Microsoft Copilot Studio, AI Builder, and n8n AI capabilities.
- Develop and maintain AI agents and agentic workflows with appropriate human oversight.
- Design, test, and refine prompts to improve AI reliability.
- Implement monitoring, guardrails, audit logging, and escalation paths for AI-enabled processes.
- Evaluate emerging AI capabilities and recommend practical business applications.
3. Workflow Rules & Decision Logic Administration
- Maintain and enhance workflow engine rules and business decision logic.
- -Translate business requirements into SQL, JSON, expressions, and workflow configurations.
- Implement, test, and deploy rule changes, validations, alerts, and automated actions.
- Troubleshoot workflow and decision logic issues.
- Coordinate UAT and production deployments.
- Maintain documentation for workflow rules and configuration changes.
4. Operational Systems & Asset Management
- Maintain the organization's IT asset inventory, ensuring records remain accurate and up to date.
- Coordinate the lifecycle of technology assets including assignments, replacements, retirements, and inventory updates.
- Support onboarding and offboarding processes by maintaining equipment and system access checklists.
- Maintain Microsoft Lists, SharePoint records, and other operational tracking systems.
- Assist in documenting business processes, procedures, and operational standards.
- Identify opportunities to automate administrative and operational tasks related to asset management and business systems.
- Support continuous improvement initiatives that enhance operational efficiency across the organization.

Education & Experience:
- Post-secondary education in Information Technology, Business Technology Management, Computer Science, Data Analytics, or a related field.
- 3-5 years of experience in automation, business systems, or a related role.
- Hands-on experience with Microsoft Power Automate.
- Experience with n8n or similar automation platforms.
- Experience integrating APIs, webhooks, SharePoint, Microsoft 365, SFTP, and email systems.
- Experience maintaining workflow rules using SQL, JSON, and expressions.
- Experience with AI-enabled automation tools such as Microsoft Copilot Studio, Azure OpenAI, OpenAI, AI Builder, or similar technologies.
Knowledge, Skills and Abilities:
- Experience in financial services or another regulated industry.
- Exposure to decision engines and workflow management systems.
- Experience with PowerShell or scripting languages.
- Knowledge of change and release management.
- Experience implementing AI-enabled automation in business environments.
- trong analytical, troubleshooting, communication, and problem-solving skills.
Working Conditions:
- Works indoors in adequate work space, with adequate temperature, ventilation and lighting.
- Normal exposure to noise, stress and disruptions.
- Must be able to sit at a computer for long periods throughout the workday, with intermittent periods of standing, walking to carry out essential duties of the job.
- Standard 37.5-hour work-week, some shift work may be required.
Shift Times:
- Days Of Operation: Monday to Friday, 9-5pm (5 days per week). May change depending on business needs.
Salary Expectations:
- $85,000 - $95,000/year depending on experience
