Position Summary
As a Nursing Administrative Assistant (NAA), you will provide clerical and administrative support to the Care Department while delivering professional and courteous front-desk reception services to residents, family members, visitors, and staff. This role plays an essential part in supporting resident care operations through staff scheduling, shift replacement coordination, customer service, and day-to-day administrative support.
Key Responsibilities
- Prepare and maintain staff schedules for the Care Department in accordance with collective agreements and established guidelines
- Coordinate shift replacements and staff call-ins professionally and efficiently
- Prepare, track, and maintain job postings and scheduling documentation
- Provide welcoming and professional front-desk reception services to residents, families, guests, and staff
- Respond courteously to telephone and in-person inquiries
- Support the Director of Care (DOC) and Assistant Director of Care (ADOC) with administrative and clerical duties
- Assist with day-to-day office operations and provide back-up support to the Office Manager as required
- Promote positive communication and teamwork across departments
- Report changes in resident condition promptly to Registered Nursing staff
- Participate in departmental meetings, in-services, and ongoing education opportunities
- Maintain a clean, safe, and organized work environment while following all health and safety, IPAC, and workplace safety protocols
- Support a culture of customer service, professionalism, and resident-focused care in all interactions
Qualifications
- College diploma in Business Administration or equivalent education and/or experience preferred
- Previous administrative or scheduling experience in healthcare or long-term care is considered an asset
- Strong interpersonal, communication, and customer service skills
- Excellent organizational skills with the ability to multitask and work effectively in a fast-paced environment with frequent interruptions
- Professional telephone etiquette and ability to handle sensitive situations calmly and professionally
- Strong computer skills with proficiency in basic office software and typing speed of approximately 50 wpm
- Knowledge of PointClickCare is considered an asset
- Dependable with a strong attendance record and flexibility to work varied shifts, weekends, holidays, and overtime as required
- Ability to work collaboratively within a team environment while exercising sound judgment and confidentiality
- Adherence to company dress code, conduct, and immunization policies
