We are seeking a highly organized and proactive Operations Coordinator with construction industry experience to support the day-to-day operations of our growing organization. This role will play a key part in coordinating internal teams, supporting project execution, improving operational processes, and ensuring smooth communication between management, clients, suppliers, subcontractors, and project stakeholders.

Responsibilities
Operations & Project Coordination
- Coordinate daily operational activities across departments and project teams
- Support project managers and leadership with administrative and operational requirements
- Assist with project scheduling, tracking deliverables, and maintaining project timelines
- Monitor action items, deadlines, and follow-ups to ensure tasks are completed efficiently
- Maintain organized project documentation, including drawings, contracts, reports, and correspondence
- Support coordination between clients, consultants, suppliers, subcontractors, and internal teams
Construction Administration
- Assist with preparation and tracking of project documentation, RFIs, submittals, change requests, and reports
- Maintain accurate records of project communications and approvals
- Support procurement activities, including supplier coordination, purchase orders, and material tracking
- Assist with vendor and subcontractor communication and relationship management
- Help ensure compliance with company procedures and project requirements
Internal Operations & Team Support
- Improve and maintain internal processes, workflows, and operational systems
- Coordinate meetings, prepare agendas, track decisions, and follow up on outstanding items
- Support onboarding and coordination of new employees
- Maintain company records, templates, and operational documentation
- Assist management with reporting, analysis, and process improvements
Financial & Administrative Support
- Assist with tracking project costs, invoices, expenses, and purchase records
- Support budgeting and forecasting activities
- Coordinate with accounting teams regarding documentation and approvals
- Maintain accurate records using company software and systems
Qualifications
- 2+ years of experience in construction operations, project coordination, construction administration, or a related field
- Strong understanding of construction processes, documentation, and project workflows
- Experience coordinating with contractors, suppliers, consultants, or project stakeholders
- Excellent organizational skills with the ability to manage multiple priorities
- Strong written and verbal communication skills
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams)
- Experience with project management or construction software is an asset
- Ability to work independently while collaborating effectively with a growing team
- Strong attention to detail and problem-solving skills
- Professional approach when dealing with clients, vendors, and internal teams
Preferred Qualifications
- Experience working in construction, real estate development, engineering, or related industries
- Experience with procurement, contracts, budgeting, or vendor management
- Knowledge of construction terminology and project lifecycle
- Experience helping implement operational improvements and company processes

Pay: $39,278.24-$77,483.53 per year
