Job overview

Coordinate & manage room blocks, reservations for group contracts.

Assist the Sales & Operation teams with require changes to existing room blocks, individual reservations and rooming lists if needed.

Working with Delphi, Opera/PEP & R&I to maintain group blocks, rooming lists, and reservations.
-
Familiarity with group commissions, rebates, invoicing, concessions, uses of reports.
Duties and Responsibilities
-
Prepare each group’s arrival using Delphi/R&I/Opera or PEP,
-
Communicate codes, billing information/routing/PM accounts, VIP information, correspondence, etc. interact with booking contacts for group rooms and crew as needed.

Correctly record group rooms and revenue in the property management system.
-
Manage Airline crew blocks, enter all manifests monthly & balance daily.
-
Enter & coordinate rooming lists, in PMS & manage 3rd party platform when required.
-
Process all group reservation requests, changes and cancellations received by phone, e-mail, internally and through meeting planners/corporations.
-
Enter and/or modify group blocks in the system to ensure inventory, stay dates, cancellation policy, deposit requirement, and booking procedure are reflected correctly.

Follow-up & deadlines - Monitoring rooming list submissions, payment due dates, pick-up dates, attrition deadlines
-
Apply monetary transaction to groups prior and after the group stay.
-
Maintain an accurate filing system for groups and ensure that each group block is traced.
-
Create and update group block notes to provide relevant data about all group reservations and coordinate with other departments as needed to provide group reservation information and group needs as specified in the contract.

Finalizing group departure with billing accuracy and payment.
-
Manage group pick-up and communicate risks at the weekly meetings.

Assist with guest concerns or comments when needed

Communicate any outstanding guest requests to management that may require additional monitoring or follow-up.

Up-sell rooms where possible according to established procedures to maximize hotel average room rate.

Suggest alternate dates for sold-out periods.
-
Promote teamwork and quality service through daily communications and coordination with other departments.

Perform other duties as assigned such as running daily reports, e.g., the cancellations, bookings, or arrivals reports.

Submit commission through Tally, process rebate, prepare group and pick-up reports
-
VIP amenities/Upgrades for Groups, communicate information regarding designated VIP reservations.
-
Ensure communication is sent to the Team to coordinate Amenities and/or upgrades for VIPs listed within a group block
-
Answer telephones using appropriate etiquette.
-
Assist the Sales Coordinator with Group Turnover, and the Events team with Daily Events Report, if needed.
QUALIFICATIONS AND REQUIREMENTS

High School diploma or equivalent plus 1-year experience in a sales office or related field. Some College preferred. Must speak fluent English.
