Key Responsibilities:
Clinic Operations and Administration
- Maintain a clean, welcoming front desk and waiting area, greeting all patients respectfully and professionally.
- Check patients in and out, ensuring accurate personal information, appointment details, and required documentation.
- Manage phone calls and emails, providing clear, courteous, and helpful assistance.
- Provide basic information about clinic services, appointment types, and general inquiries.
- Book, reschedule, and confirm appointments using HearWare, ensuring schedules are accurate and up-to-date.
- Process payments, issue receipts, and support patients with insurance or third-party documentation as needed.
- Prepare, scan, and organize forms and documents, ensuring accuracy, confidentiality, and proper file handling.
- Maintain accurate and timely patient records in HearWare, updating information as required.
- Coordinate outreach visits by preparing intake forms, patient lists, and required equipment for home and in-clinic appointments.
- Submit and track insurance and third-party claims, following up on approvals, holds, or outstanding requirements.
Hearing Aid Services and Patient Support
- Assist with basic hearing aid troubleshooting, cleaning, and repairs, including sending devices for repair and tracking their status.
- Review warranties and confirm patient coverage, charges, and limitations when applicable.
- Confirm patient eligibility, coverage limits, warranty details, and required documentation before services.
Compliance, Privacy & Safety
- Adhere to all confidentiality requirements under CSHBC, PIPA, and clinic-specific policies.
- Protect patient records by ensuring secure handling, storage, and transmission of personal information.
- Follow all clinic health and safety procedures to ensure a safe environment for patients and staff.
Qualifications
- Previous experience in a healthcare or customer service environment is an asset but not required.
- Strong communication skills with a warm, professional demeanour.
- Proficiency in Microsoft Office and the ability to learn clinic software systems such as HearWare.
- Highly organized with strong attention to detail.
- Ability to multitask in a fast-paced environment.
- Strong problem-solving skills and willingness to assist both clients and team members.
- Ability to maintain patient confidentiality and follow clinic policies.
- Familiarity with third-party benefit programs, insurance processes, and warranty policies is an asset but not required.
