About the Program
Foundry is an integrated youth services (IYS) initiative for youth ages 12-24 throughout British Columbia (BC). Foundry removes barriers and improves care pathways for youth by supporting co-location and integration of existing resources and services for five core streams: physical and sexual health, mental health, substance use, peer support and social services. Located in Surrey City Centre, Foundry Surrey Central serves a diverse and growing community and is committed to accessible, culturally safer, youth- and family-centred care.
Hours & Conditions of Work
- Regular Full Time
- 35 hours weekly
- Working Hours – This position requires a flexible schedule that may include evenings and weekends.
Position Summary
As a member of the Foundry team, the Front-Facing Administrative Assistant will provide administrative support to create a welcoming, safe, inclusive and vibrant space for youth and families to access supports and services needed to achieve their goals. This position is often the first point of contact for anyone emailing, calling or walking into the centre. It is important that this position be knowledgeable about the services available and be able to provide accurate information to those who inquire.
It is necessary that the Administrative Assistant is flexible and adaptable to competing priorities and can switch focus from data work to participant inquiries seamlessly. To be successful, they will need to be technology savvy and able to learn different computer systems. It is imperative that the Administrative Assistant demonstrates the ability to support a diverse population and takes initiative to ensure a safe and inclusive environment for participants and staff.
Responsibilities
Front Desk Management:
- Greets clients and visitors with a warm and welcoming demeanor
- Answers phone calls, respond to emails, and handle inquiries promptly and professionally
- Supports the Manager with billings, data management, spreadsheets and monitoring as required
- Sets up and maintains participant files with a strong attention to privacy and confidentiality
- Schedules appointments and maintain the appointment calendar efficiently
- Manage incoming and outgoing mail and packages.
- Maintains cleanliness and organization of the reception area
Administrative Support:
- Assists with administrative tasks such as data entry, filing, and document management
- Coordinates and schedules meetings, workshops, and events as needed
- Prepares and distribute internal and external communications
- Assists in maintaining inventory of office supplies and ordering when necessary
Client Support:
- Provides excellent quality of care by addressing client needs and concerns in a timely and courteous manner
- Assists clients with completing forms, insurance verification, and other paperwork
- Ensures client records are accurate, confidential, and up-to-date
Collaboration:
- Collaborates with other team members to support various projects and initiatives
- Communicates effectively with healthcare providers, staff, and external stakeholders
Competencies & Knowledge
- Knowledge and experience in trauma-informed care and harm reduction
- Knowledge and experience in social services, child and youth care, and local demographics
- Knowledge of Foundry & Foundry platform
- High level of verbal, interpersonal, and written communication skills
- Demonstrated ability to operate office equipment
