Duties and Responsibilities-
Answering incoming calls on a multi-line system and direct them to the appropriate team member or department

Welcome and assist the clients and visitors upon arrival
-
Prepare the boardroom for meetings and ensure meeting spaces are ready for use.

Handle general administrative duties, including filing, scanning and maintaining records.

Prepare reports and correspondence
-
Maintain office organization and assist with light office upkeeps (for e.g. watering plants, keeping the office tidy, etc.)
-
Provide support to senior managers such as organizing emails and calendars as required, etc.
-
Format documents and create materials using MS Word and Excel, as well as proofread and edit documents
-
Assist with personal errands as needed (e.g., drop-off/pick-up dry cleaning, lunch, groceries)
Qualifications and Requirements-
2+ years of experience as an Administrative Assistant

Valid driver's license
-
Access to a reliable vehicle
-
The ability to quickly learn and adapt to a new industry
-
Calm and professional demeanor in a fast-paced environment
-
Strong interpersonal skills to effectively support clients and customers
-
Proficiency in Microsoft Office Suite and other software (MS Word, Excel, PowerPoint, Google Docs, Canva, etc.)

Comfortable with computers, smartphones, and tablets, and willing to learn new applications

Strong research skills with the ability to present data clearly and concisely
-
Ability to work independently with sound judgement and attention

Excellent management, time-management, problem-solving, writing, editing, grammatical, organizational, and research skills
