Position Summary
The Medical Office Administrator plays a vital role in ensuring the smooth day-to-day operation of the clinic. The successful candidate will provide exceptional customer service, support physicians with clinical and administrative tasks, and help maintain an efficient patient flow.
Candidates with experience using JUNO EMR and those certified to administer intramuscular (IM) injections or Registered Practical Nurses (RPNs) are strongly encouraged to apply.
Key ResponsibilitiesReception & Administration
- Welcome and register patients professionally and courteously.
- Verify and update patient demographic information and OHIP eligibility.
- Schedule and coordinate patient appointments.
- Answer incoming telephone calls and respond to patient enquiries.
- Process payments for uninsured services.
- Prepare invoices for lawyers, insurance companies, and third-party organizations.
- Scan, fax, file, and maintain patient documentation.
- Monitor physician messages and complete assigned administrative tasks.
- Maintain confidentiality in accordance with PHIPA and clinic policies.
Clinical Support
- Escort patients to examination rooms.
- Measure and record patient vital signs, including height, weight, blood pressure, and temperature.
- Prepare examination rooms for patient consultations.
- Assist physicians during procedures, including:
- Pap tests
- Wound care and dressing changes
- Suture and staple removal
- Ear syringing
- Wart treatments
- Administer vaccines, Vitamin B12 injections, allergy injections, and TB skin tests (where qualified).
- Monitor and document vaccine refrigerator temperatures.
- Ensure examination rooms remain fully stocked and organized.
- Maintain infection prevention and control standards.
General Duties
- Support multiple physicians in a busy family practice.
- Coordinate efficient patient flow throughout the clinic.
- Maintain a positive, professional, and respectful workplace.
- Participate in continuous quality improvement initiatives.
- Perform additional duties as assigned.
- QualificationsRequired
- Medical Office Administration or Medical Secretary Diploma.Preferred
- Experience using JUNO EMR.
- IM Injection Certification.
- Registered Practical Nurse (RPN) designation.
- Experience working in a high-volume, multi-physician family practice.
- Italian language proficiency is considered an asset.
