ABOUT THE POSITION
We are currently looking for one (1) Coordinator, Exams for a permanent, full-time role.
The Exams Coordinator oversees the organization and delivery of SkilledTradesBC exams across British Columbia, ensuring invigilation services are coordinated effectively and candidates can access exams as part of their trade pathway.
The role manages day-to-day relationships with vendors involved in exam administration and works closely with them to support scheduling, venue changes, accommodations, and other service requirements.
In partnership with internal teams, the Exams Coordinator follows up on requests and resolves operational issues to help all apprentices and trade qualifiers access exams in a timely and well-supported manner.
The role also supports the training of new invigilation staff for both stakeholders and internal teams.
CORE RESPONSIBILITIES
Vendor and Internal Relationships:
- Maintain day-to-day operational relationship with key stakeholders and supports Internal Invigilation Services for exam support
- In partnership with external partners, coordinates invigilator availability for rural communities
- Coordinates facility / venue availability for rural exams
- Correctional Services security clearance
- Respond to any critical exam incidents
- Visit vendor locations across BC to provide training, gather information and maintain relationships.
- Attends monthly meetings with vendors to ensure services are delivered according to agreements.
- Serves as a primary contact for Customer Support, Completions team and vendors regarding exam related escalations, questions and/or complex problem solving.
- Manages sensitive escalations regarding coordination of exam delivery that include underrepresented groups (women in trades, indigenous groups, and youth)
- Analyzes exam scheduling information to identify solutions to issues, explore efficiencies and presents them to the Team Lead, Exams Administration and/or Manager, Assessments.
- Supports the Manager, Assessments to:
- Plans and forecasts budget related to vendor services
Operational Support and Exam Administration:
- Attends internal meetings to represent the exams team, shares information with the team, gathers feedback and works closely with the Team Lead, Exams Administration and Manager, Assessments to make decisions.
- Monitors and actions internal email via Assessments inbox and Exams queue.
- Maintains close connection with internal departments to ensure exam services are provided.
- Works with the exams team to assist in processing exams administrative work to maintain service levels.
- Works closely with the Team Lead, Exams Administration to identify areas of improvement and perform system testing.
- Works closely with the Training Provider Liaison and internal teams to support Community Based Programs
Training:
- Works with the Team Lead, Exams Administration to onboard and train new Exams Administrators
- Support training of Invigilators across the province including internal and external individuals
- Provides training to vendors about SkilledTradesBC exams procedures
EDUCATION/EXPERIENCE
- Highschool or equivalent, and post-secondary degree or diploma or equivalent is preferred; combination of education and experience will be considered
- Experience working with CRM systems and administrative processes, including invoice processing and budget tracking
- Strong knowledge of SkilledTradesBC programs, policies, program standards, and the skilled trades system.
- Experience working in a fast-paced, customer-focused environment with competing priorities and a dynamic workload
- Demonstrated ability to build and maintain effective working relationships with service providers and stakeholders
- Occasional overnight travel is a requirement of this position, approximately 4 days per quarter
- Must hold a valid driver’s license and have access to a reliable vehicle to support occasional travel requirements of the role
COMPENSATION
Salary Band C: $ 65,421 - $ 88,512
