Job Summary: In accordance with the Purpose, Vision, Values, Coast Salish Teachings, and strategic direction of PHSA, safety, including both patient and employee safety, is a priority and a responsibility shared by everyone at PHSA. Reporting to the Program Manager, Inter Campus Operations, the Coordinator manages the operation of the Formula/Milk Handling Room and BC Metabolic Nutrition Program. Coordination of the Formula Room and Milk Handling Room involves creating, implementing and managing the standards, policies, procedures and equipment for preparing and distributing human milk and formula feeds. Coordination includes managing the handling, preparation and distribution of expressed milk and infant/enteral products to inpatients at BC Children’s Hospital and BC Women’s Hospital; and, the procurement of infant/enteral Formulary products. Coordination of the BC Metabolic Nutrition Program involves creating and managing the standards, policies and procedures for the procurement and distribution of metabolic formula, medical foods, adjunct nutritional supplements, and supplies. Coordination of both areas involves financial management and reporting, supply chain management, continuous quality improvement, supervision of staff, and collaboration with clinical dietitians, other health care professionals, patient support services, patients and families. Duties/Accountabilities: 1. Develops and revises written policy and procedure for area operations by applying current knowledge of applicable standards and liaising with key stakeholders to identify interdependencies and align or integrate related policies and procedures. Participates in revision of the operational service delivery model as required. 2. Oversees and directs the activities of staff performing duties in the Formula Room, Milk Handling Room and BC Metabolic Nutrition Program (BCMNP). Completes ongoing performance monitoring and evaluation. Responsible for staff orientation, training and scheduling and participates in staff selection. 3. Conducts regular staff meetings and in-services to identify and provide training on changes to policy and procedure. Communicates changes to identified stakeholders. Audits compliance to policy and procedure. 4. Collaborates with the clinical stakeholders, supply chain, finance, and vendor representatives, and other parties as required, to establish and monitor contracts, purchasing, billing, and inventory. 5. Collaborates with finance to complete period end budget monitoring, and annual budget reconciliation. Completes period end, quarterly, annual and ad hoc budget reports for individual cost centres as required. Develops action plans to respond to budget variances. In collaboration with the Program Manager, Inter Campus Operations, participates in budget planning for area cost centres. 6. Collaborates with vendor representatives to troubleshoot problems related to purchasing, billing, and inventory. Assists HEU staff to troubleshoot problems between clinicians/clinical areas and Formula Room, Milk Handling Room, and BCMNP, and with product vendors. 7. Creates and manages the inventory of human milk, infant/enteral/metabolic formula, and supplies by liaising with stakeholders to identify needs; collaborates with supply chain to identify and procure appropriate products to meet the identified clinical requirements, considering the program mandate and financial parameters as required. 8. Maintains established systems for patient and client records, and participates in systems change initiatives to ensure data is maintained in accordance with standards. 9. Liaises with clinical stakeholders, IMITS representatives, and vendor representatives to maintain and troubleshoot technology systems. 10. Establishes and maintains systems for patient and client records, including databases; employs current knowledge of FOIPPA and Payment Card Industry Standards to ensure data is maintained in accordance with standards. 11. Develops, maintains and distributes the BCMNP Formulary. Monitors product information from manufacturers to ensure accuracy of the formulary. Maintains departmental resource files and documents for current product information, standard formula preparation recipes and references on Formularies. 12. Provides information and facilitates in-service education opportunities for health care personnel and/or clients as required. Maintains after hours supply cupboard. 13. Participates in practice and advisory councils as required. Participates in supply chain contract management processes by providing clinical judgment regarding infant, enteral and metabolic formulas. 14. Performs other related duties as assigned. Qualifications: Education, Training and Experience • Graduation from an academic program in dietetics approved by the College of Health and Care Professionals of BC. • Three (3) years recent, related clinical experience and recent related experience in business operations; One year supervisory experience or an equivalent combination of education, training and experience. • Current full registration as a Dietitian with the College of Health and Care Professionals of BC including Restricted Activity A. Skills and Abilities • Knowledge of standards and regulations including but not limited to: health and food safety standards, food premises regulations, infant formula preparation standards, infection control standards, Canadian Standards Association for Health Care Facilities, Canadian Breastfeeding Council Accreditation Standards for Baby Friendly Accredited Hospitals, privacy and confidentiality standards. • Ability to communicate with, and to deal effectively with co-workers, physicians, other health care professionals, patients and their families and/or caregivers and vendors. • Ability to work as a team member and to deal effectively with patients, customers, families, caregivers, vendors and health professionals. • Ability to organize work and prioritize workload and perform duties in a busy workplace setting. • Ability to supervise and direct staff. • Knowledge of business processes and planning. • Ability to operate related equipment including knowledge of computer applications including word processing, spread sheets, web design and data bases. • Ability to perform physical duties related to the position.
