The Role
We are seeking a detail-oriented, client-focused Administrative Assistant to join our team. In this pivotal role, you will be the first point of contact for our clients and the operational backbone of our office. The ideal candidate thrives in a professional team environment, is highly adaptable, and is committed to making accountable, independent decisions that align with our corporate values.
Key Responsibilities
Client Experience & Relationship Management
- First Impressions: Act as the primary point of contact, greeting clients and managing incoming phone and email communications.
- Scheduling: Coordinate client-advisor meetings across in-office, Zoom, and phone platforms.
- Meeting Support: Facilitate the Client Service Model through meticulous meeting setup and file preparation.
- Engagement: Manage client appreciation efforts, including special occasion cards and event organization.
Financial & Account Administration
- GIC Management: Communicate with clients regarding GIC maturities and renewals; process purchases and applications.
- Data Integrity: Maintain accurate records within our CRM (Salesforce) and other financial systems.
- Compliance: Obtain and manage sensitive tax documentation (TFSA/RSP limits and NOAs).
Tax Season Coordination
- Reporting: Log tax files and generate investment statements for clients.
- Processing: Coordinate the assembly, signing, and distribution of tax packages via DocuSign and mail.
- Accuracy: Ensure all tax returns and year-end summaries are filed and processed with 100% accuracy.
Qualifications & Skills
- Financial Literacy: Working knowledge of investments, specifically GICs, is highly preferred.
- Tech Proficiency: Advanced skills in Microsoft Office Suite, Zoom, and Salesforce.
- Detail-Oriented: Proven ability to prioritize high-volume tasks with total accuracy and professional discretion.
- Adaptability: Ability to navigate the ever-changing financial industry and self-initiate support for team members.
- Communication: Exceptional customer service skills with a positive, professional attitude.
- Education & Experience: Post-secondary diploma in business/finance or experience in a financial advisory support role is considered a strong asset. Two to five years industry experience an asset.
