We are a locally owned and operated hearing clinic that is proud to be serving your community for over 25 years, with quality hearing solutions for patients of all ages. With multiple locations in and around the Waterloo Region, we are growing and looking for a CLIENT CARE COORDINATOR to join our team and provide ADMINISTRATIVE AND CLERICAL SUPPORT. Providing above-and-beyond service to our patients, you will:
- Answer incoming calls and place outgoing calls
- Book new and existing patient appointments and call for appointment reminders
- Use the electronic filing systems to record details of patient interactions, patient demographics
- Scan all paper files into the electronic filing system
- Quote fees for service and sell hearing aid accessories, batteries, other small items
- Complete appropriate paperwork, EX take payments, maintain related financial records and help maintain appropriate insurance billing and track ADP forms
- Track internal recalls on electronic filing system to ensure critical tasks are completed in a timely manner
- Clean and troubleshoot malfunctioning hearing aids and send hearing aids for repair if required
- Receive hearing aids and associated devices and appropriately input them into electronic filing system
- Purchase and track clinic supplies as necessary
- Perform general housekeeping duties, EX empty garbage/recycling, vacuum, clean bathroom, restock clinical rooms
- Provide occasional support to the clinician during assessment appointments (team testing, vestibular testing)
- Contact patients/other medical professionals, at clinician request, for specific medical records
What we are looking for:
- Post Secondary School Diploma/Degree (Medical Office Assistant Program or equivalent)
- Posses a valid class G Ontario Drivers license in good standing
- 2 YR experience in a similar role (an asset)
- Proficient with Microsoft Office products
- Possess a typing speed of 65 WPM MINIMUM
- Knowledge of QuickBooks, Sage, Slack and Teams (an asset)
- Strong written, verbal, communication and interpersonal skills
- Ability to work independently, as well as in a team setting, collaborate and troubleshoot issues
- Possess strong time management and organizational skills and able to manage multiple tasks

Schedule:
- Varying weekday hours between 9 am – 7 pm
- Must be available to work a flexible schedule (mornings, afternoons, and evenings).
Job Type: Full-time
Pay: $19.00-$22.00 per hour
