About The Role
The Manager, Dealer Services is responsible for leading the day-to-day operations of the Dealer Services team, ensuring accurate and timely processing of investment transactions, and driving continuous improvement across back-office workflows. This role combines people leadership with operational oversight, playing a key part in maintaining service levels for advisors and internal stakeholders while identifying and implementing efficiencies across the department.
What You’ll Do
Operations & Oversight
Oversee the accurate and timely processing of all investment transactions and account maintenance activities across dealer codes.
Manage escalated advisor inquiries and serve as a senior point of contact for internal stakeholders on back-office issues.
Liaise with fund companies, carriers, and platform providers (e.g. FundSERV, AGORA) on behalf of HUB.
Ensure reconciliation processes are completed accurately at month-end and quarter-end, including fee-for-service, statements, and account data.
Oversee statement production, review cycles, and delivery in accordance with compliance and regulatory timelines.
Monitor transaction workflows and proactively identify and resolve processing errors or system discrepancies before they create downstream issues.
People Management & Team Development
Lead, coach, and develop a team of Dealer Services Administrators, fostering a high-performance and collaborative team culture.
Manage workload distribution, scheduling, and coverage planning including onboarding new team members during periods of transition.
Conduct regular performance reviews and provide ongoing feedback and mentorship to support team growth.
Cross-train team members across functions to ensure operational depth and continuity.
Process Improvement & Automation
Identify operational gaps and lead the design and implementation of process improvements across Dealer Services and adjacent departments.
Streamline manual workflows through automation, RPA tooling, and system enhancements in partnership with IT and operations teams.
Build and maintain documentation, standard operating procedures, and internal knowledge resources to support team consistency and compliance.
Contribute to or lead special projects including system testing, platform implementations, and cross-departmental initiatives.
Governance & Reporting
Maintain accurate tracking and reporting on fee structures and operational metrics.
Support internal audits and compliance reviews by ensuring documentation, procedures, and records meet regulatory standards.
Participate in or lead internal committees related to operations, technology adoption, or service delivery as required.
What You’ll Need for Success
University degree in Finance, Business Administration, or a related field required.
Minimum 5 years of experience in the investment industry, with back-office or operations experience strongly preferred.
Minimum 2 years of people management or supervisory experience.
Hands-on experience with FundSERV and WealthSERV required; familiarity with additional investment platforms (e.g. AGORA, Univeris, Broadridge, or similar) is a strong asset.
Experience dealing directly with fund manufacturers on behalf of advisors, including account maintenance, transaction processing, and escalation management.
Advanced proficiency in Microsoft Excel, including data manipulation, reconciliation workflows, pivot tables, and formula-based analysis; experience working with large data sets and back-office reporting is essential.
Comfort working across data management systems and tools; experience with SharePoint, Microsoft Lists, Power Automate, or RPA platforms is an asset.
Demonstrated ability to identify process gaps and design practical, scalable solutions.
Excellent written and verbal communication skills with the ability to liaise across departments and with external partners.
Strong analytical and problem-solving skills with high attention to detail and accuracy.
Ability to manage competing priorities and maintain service levels in a fast-paced environment.
Strong leadership presence with a collaborative and solutions-oriented approach.

Compensation
The expected salary range for this position is $70,000 - $80,000 and will be impacted by factors such as the successful candidate’s skills, experience and working location, as well as the specific position’s business line, scope and level.
