True Plastic Surgery is a physician-owned aesthetic plastic surgery practice committed to delivering exceptional surgical care and a premium patient experience. We are seeking a professional, organized, and personable Front Desk & Patient Experience Coordinator (Medical Receptionist) to become an integral member of our team.
As the first point of contact for our practice, you will play a critical role in creating a warm, welcoming, and exceptional experience for every patient. This position is responsible for managing front desk operations, coordinating appointments, handling patient communications, and providing administrative support to ensure the clinic operates efficiently each day.

Responsibilities
· Deliver an exceptional patient experience by anticipating patient needs and ensuring every interaction reflects the professionalism and values of True Plastic Surgery.
· Welcome patients and visitors with professionalism, warmth, and discretion while ensuring an exceptional first impression.
· Manage patient check-in and check-out procedures efficiently to maintain smooth clinic flow.
· Answer and direct incoming multi-line telephone calls while responding promptly and professionally to emails and other patient inquiries.
· Schedule, confirm, and coordinate consultations, treatments, procedures, and follow-up appointments using the electronic medical record (EMR) system.
· Collect, verify, and update patient demographic information, consent forms, and intake documentation to ensure accuracy.
· Maintain strict patient confidentiality and secure sensitive records in accordance with the Personal Health Information Protection Act (PHIPA).
· Process patient payments accurately and assist with administrative billing and financial transactions.
· Prepare patient charts and documentation for upcoming appointments.
· Maintain an organized, clean, and welcoming reception and waiting area.
· Assist physicians and clinical staff with administrative tasks to support efficient daily operations.
· Coordinate incoming and outgoing correspondence, referrals, medical records, and other clinic documentation.
· Order and maintain office supplies and support general office organization.
· Provide administrative support throughout the clinic and assist with additional duties as required to support daily operations.
Skills & Qualifications
· Previous experience as a medical receptionist, administrative assistant, or front desk professional in a healthcare, dental, surgical, cosmetic, or hospitality environment is strongly preferred.
· Hands-on experience navigating Electronic Medical Records (EMR) or electronic health and customer relationship management (CRM) platforms for scheduling, tracking and documentation.
· Exceptional customer service skills with a polished, professional, and friendly demeanor.
· Demonstrated ability to remain calm, professional, and solution-oriented when managing multiple priorities in a busy clinic environment.
· Excellent verbal and written communication skills with the ability to interact confidently and compassionately with patients.
· Strong organizational and time management skills with exceptional attention to detail.
· Proficiency with Microsoft Office (Outlook, Word, Excel) and standard office software.
· Knowledge of medical terminology is considered an asset.
· Familiarity with PHIPA and healthcare privacy requirements is an asset.
· Demonstrated ability to work collaboratively within a team while maintaining a high degree of professionalism and confidentiality.
