Westek Truss Systems is looking for a dynamic, and detail oriented Technical Administrator / Receptionist to join our team! This unique dual-role opportunity combines technical administrative support with front line customer service! This makes you an essential part of both our daily operations and the overall customer experience.
This role will provide technical, administrative, and production support to the design, estimating, and manufacturing teams. This role is responsible for administering and coordinating design documentation, maintaining engineering records, coordinating project information, supporting quality control processes, and ensuring accurate communication between the office teams including: sales, design, production, scheduling and site personnel. Alongside the core responsibilities of the role, the successful candidate will provide reception support and perform general front-desk administrative responsibilities with a top tier customer service skill set.
Experience working for a truss manufacturing plant or construction environment will be preferred and prioritized.

ROLE RESPONSIBILITIES
- First pick up for incoming calls and directing customer calls to the appropriate team member and/or, answering customer queries.
- Maintain office filing systems (electronic and paper).
- Order and maintain office supplies.
- Liaise with vendors service providers, Leadership and other teams within the Westek and Trail operating groups.
- Prepare, organize, and distribute roof truss design packages and shop drawings.
- Maintain project files, engineering calculations, sealed drawings, and revisions.
- Track drawing revisions and ensure current versions are released to production.
- Assist with permit, engineering, and compliance documentation.
- Create production packages including:
o Truss placement plans
o Shop drawings
o Manufacturing cut sheets
o Material lists
o Delivery packages
- Assist truss designers with project setup and data entry.
- Maintain customer specifications and project records.
- Enter building information into truss design software.
- Review incoming architectural and structural drawings for completeness.
- Coordinate engineering review submissions and approvals.
- Printing and entering of blueprints in proprietary software.
- Invoicing and mailing invoices to customers.
- Complete invoiced orders on SupplyPro to support payment being issued from customer.
- Processing customer payments and balancing daily cash.
- Create booklets for delivery packets.
- Maintain accurate records and databases.
- Communicate information across department teams and Sr. Managers.
May perform additional responsibilities as required related to a Receptionist and Technical Administrator.
SKILLS & EXPERIENCE
- Certificate/diploma in Engineering Technology, Construction Technology, Office Administration, Business Administration or related field.
- Experience in roof truss manufacturing, construction administration and or, technical office administration will be preferred and prioritized.
- Reception experience will be preferred and prioritized.
- Strong organizational and multitasking skills.
- Able to manage multiple priorities in a fast-paced environment.
- Experience using office equipment/software (printers, phone systems, Microsoft Office, Outlook, etc.)
- Intermediate to expert level of knowledge working with MS Excel, Word and PowerPoint
- Professional & customer service oriented.
- Strong analytical and problem abilities.
- Bookkeeping and accounting fundamentals.
- Ability to handle confidential information.
- Attention to detail and accuracy.
- Top tier communicator both verbal and written.
