We're looking for a proactive, detail-oriented Project Coordinator to join our team. You'll be the driving force behind the scenes, working closely with clients, Account Managers, the Operations Manager, designers, vendors, and our production team to ensure every custom exhibit is delivered on time, on budget, and ready to impress.
One day you're coordinating an exhibit headed to Vancouver, the next you're helping prepare one for Las Vegas or Chicago. If you love variety, collaboration, and the satisfaction of checking the last box on a to-do list, you'll fit right in.

What You'll Be Doing
- Develop and maintain project schedules from kickoff to completion.
- Coordinate with clients, graphic designers, suppliers, vendors, and internal teams to keep projects moving smoothly.
- Review CAD drawings, templates, and project documentation to ensure accuracy before production begins.
- Track project progress and keep everyone informed of key milestones and deadlines (before they ask!).
- Manage document control, including revisions, approvals, and project files—because Final_v12_ReallyFinal.pdfshouldn't be a guessing game.
- Monitor timelines, budgets, and resource allocation to help projects stay on track.
- Schedule and facilitate project meetings, prepare agendas, and follow up on action items.
- Work closely with the Operations Manager, Account Managers, and production team to ensure seamless execution.
- Assist with shipping logistics, event schedules, and exhibit installation planning.
- Help identify potential issues early and work with the team to find practical solutions.
- Ensure company standards and project requirements are met throughout every stage of production.
What We're Looking For
- Exceptional organizational and time management skills with the ability to manage multiple projects at once.
- Excellent written and verbal communication skills in English.
- Strong attention to detail—you notice the missing comma, the incorrect booth number, and the file that's one revision behind.
- Comfortable reading CAD drawings, schematics, and technical documents.
- Experience as a Project Coordinator is an asset, but not required. Experience in construction, manufacturing, production, events, design, or another fast-paced project environment is equally valuable.
- Experience using project management and collaboration software such as Monday.com, Slack, Gmail, and Booqable.
- Strong computer skills and the ability to learn new software quickly.
- A proactive problem solver who enjoys finding solutions rather than waiting for someone else to fix them.
- Strong teamwork and communication skills—you'll work closely with our Account Managers, Operations Manager, designers, production team, vendors, and clients to keep every project moving smoothly.
- Able to manage changing priorities and tight deadlines with professionalism, flexibility, and a sense of humour.

Pay: $45,215.33-$85,211.65 per year
