ABOUT THE ROLE
Reporting to the Program Manager, OMM Business Improvement, this position is responsible for the development, coordination, oversight, and maintenance of data and reports in support of the Water and Wastewater business services programs including procurement, project coordination and training. Also responsible for compiling, collection, documenting, analyzing, and reporting on qualitative and quantitative research from multiple systems. Provides support with budget tracking, procurement activities, and coordinating projects.
WHAT YOU'LL BE DOING
- Maintains databases and dashboards including data verification, data upload, data sharing, and data presentation for operating budget, procurements, projects and training programs.
- Prepares, develops, and maintains accurate reports through analyses and summarizing of data and information from multiple systems to support operating budget, procurement, projects and training programs.
- Compiles data for management in preparation of KPI's, budget and forecasting activity; analyzes results to identify trends and variances.
- Reviews and reports on data, investigates issues and provides further information to management, as requested.
- Assists in preparation of contract documents and purchase orders for authorization, ensures all documents are properly executed prior to commencement of work.
- Supports contract administration through site coordination with contractors, placing orders through existing contracts, and entry of contract related data or reports into existing systems.
- Assists in the development of public and invitational tender packages for distribution to proponents by reviewing, editing, and organizing documentation.
- Verifies invoices against contract provisions to ensure that amounts and other terms and conditions are being respected.
- Develops and maintains relevant research products, metrics and statistics to monitor and evaluate relevant program performance.
- Analyzes data and prepares statistical information and/or reports; monitors and reviews quantitative and qualitative information to identify trends.
- Prepares and analyzes regular and ad hoc reports for review by management and department partners.
- Responds to inquiries and resolves concerns, as appropriate.
- Ensures that services provided meet Regional customer service standards.
- Participates on committees, work groups, and special projects, as assigned
WHAT WE'RE LOOKING FOR
- Successful completion of a Community College Diploma or approved equivalent combination of education and experience.
- Minimum three (3) years business support experience in a project management environment, including data analysis, contract management, tracking, report writing and related business support, coordination, and implementation activities.
- Knowledge of budgets, budget tracking, data tracking, report generation and project management software.
- Knowledge of water and wastewater treatment systems, related metrics/KPIs, related research and evaluation methods.
- Demonstrated skills in data management and analysis.
- Demonstrated knowledge of relevant Standards, Acts and Regulations including water and wastewater legislation, procedures, protocols, provincial waste auditing protocols and related acts.
- Ability to demonstrate the Region’s core competencies.
- Advanced skills Microsoft Office suite, include spreadsheet applications, database software and knowledge of virtual platforms.
- Ability to work independently and with teams and with ability to manage competing priorities.
- Excellent interpersonal skills and ability to connect with a range of internal and external partners while focusing on fostering collaborative work relationships.
- Ability to work outside regular business hours, as required.
