Legal Administrative Assistant

We are a busy, fast-paced Vancouver law firm focused primarily on criminal law, with a smaller family and civil practice. Our team includes two lawyers, a paralegal, and rotating criminology interns.
RTG Law Group is seeking a detail-oriented experienced Legal Administrative Assistant to join our team. This hybrid role requires strong organizational skills, proactive communication, and effective time management to meet deadlines and keep workflows running smoothly.

Job duties, include, but are not limited to:
· Draft pleadings for family and civil applications, petitions, and notices of application
· Prepare financial statements for family law clients
· Gathering, organizing, and preparing client documents for disclosure
· Review, file, and serve pleadings
· Draft correspondence to clients, opposing counsel, and Crown counsel
· Conduct legal research
· Provide directions to interns
· File pleadings by email or through CSO
· Serve pleadings and other documents on opposing counsel and Crown counsel
· Coordinate court reporters and examinations for discovery
· Obtain and distribute court links for remote appearances
· Prepare lawyers for court appearances, including binder assembly
· Handle direct communication with clients
· Attend to document delivery and follow up with clients
· Update client file status
· Track client documents and ensure they are properly filed in Clio and Teams
· Track activity on criminal, civil, and family files
· Maintain organized client summary documents
· Manage lawyers’ calendars and reminders
· Maintain the deadline calendar
· Maintain an accurate bring-forward system
· Coordinate calls between lawyers and clients
· Arrange Microsoft Teams meetings
· Open new files and manage billing
· Pay invoices as required
· Track billable hours for private family and legal aid files
· Miscellaneous law office duties
Firm's Systems and Tools:
· CSO and email filing
· Clio document management
· Microsoft programs (Word, Excel, Outlook, Teams)
· QuickBooks Online
What You Bring:
· Strong organizational skills and a consistent, detail-oriented work style, with a focus on ensuring nothing is overlooked
· Comfort with basic spreadsheets or entry-level bookkeeping software; full bookkeeping is not required
· A professional, composed phone manner for client-facing interactions
· Discretion when handling sensitive client and financial information
· Experience in a law firm is an asset
· LAA certification is preferred; however, it is not essential for this position
Job Details: $50,000–$55,000 per year
