Role: As a key member of the Human Resources Department, the Volunteer Coordinator is responsible for the delivery of the volunteer services functions within the organization. This is a temporary fixed-term position anticipated to run from June 2026 to September 18, 2026. The term may be extended based on organizational requirement and operational needs.
Reports to: Director of Human Resources

- Research and identify opportunities for volunteers congruent with the organization’s needs and strategic plan and enhance the operations of the business.
- Develop volunteer role descriptions and performance standards for all volunteer positions.
- Research, develop and implement framework to run volunteer program including, recruitment strategies, onboarding processes, training, performance management (setting and evaluating goals and recognition) of volunteers.
- Oversee and complete all recruitment, training, providing direction and support, evaluation and recognition of volunteers.
- Promote and market the volunteer program both internally and externally.
- Facilitate strong rapport and communication between employees and volunteers.
- Track volunteer hours to ensure minimum commitment levels are achieved.
- Coordinate and execute volunteer recognition events.
- In collaboration with the Director of Human Resources, develop the volunteer budget and manage expenses responsibly.
- Administer training and development for volunteers as needed.
- Conduct a needs analysis and training with Managers/Coordinators to determine the volunteer needs for each department.
- Organize volunteer events on evenings and weekends as needed.
- Evaluate volunteer software and manage scheduling of shifts for volunteers as needed.
- Maintain the security check process for volunteers and employees.
- Assist in preparation of offer letters, welcome packages, and employee files.
- Assist with prescreening when required.
- Take minutes at meetings and distribute as appropriate.
- Filing and scanning Human Resource (HR) paperwork.
- Manage, order, count and maintain uniforms for volunteers and employees.
- Manage our spot recognition program for employees.
- The role is required on site.
- You are a high-energy individual who thrives in a dynamic environment.
- Preference given to those who have completed a post-secondary diploma or degree in volunteer management, Human Resources or related field, or equivalent combination of related education and experience.
- Must be able to handle confidential information in an ethical and professional manner.
- Strong problem identification and problem resolution skills.
- Proficiency with Microsoft products (Word, Excel, PowerPoint, and Outlook)
- Attention to detail, ability to prioritize multiple tasks, and dependability are required for this position.
- Taking personal responsibility for delivering on commitments, ability to respond to changing circumstances and priorities.
- Sound analytical thinking, planning, prioritization, and execution skills.
- Strong work ethic, driven and positive team attitude.
