We are seeking an experienced and motivated Residential Property Manager to oversee a portfolio of residential properties, manage property owner and tenant relationships, coordinate leasing and maintenance activities, and help grow the number of properties under management.
Position Overview
The Residential Property Manager will be responsible for the day-to-day management of assigned residential properties. This role requires a strong combination of organization, communication, customer service, leasing, problem-solving, and business development skills.
The successful candidate will be comfortable working directly with property owners, tenants, contractors, and prospective clients. They will take ownership of their portfolio, respond proactively to issues, and identify opportunities to attract new landlords and add additional rental units to the company’s management portfolio.
Key Responsibilities:
Property Management
- Manage the day-to-day operations of an assigned portfolio of residential properties.
- Conduct regular property visits and inspections.
- Monitor lease compliance and address property-related concerns.
- Maintain accurate property, tenant, lease, inspection, and maintenance records.
- Identify potential risks, repairs, and property improvements and communicate recommendations to property owners.
- Support rent collection, arrears follow-up, notices, and other tenancy administration as required.
- Ensure properties are managed in accordance with company policies and applicable residential tenancy requirements.
Leasing and Tenant Placement
- Market available rental properties through appropriate advertising channels.
- Respond to prospective tenant inquiries and schedule property showings.
- Conduct showings and communicate the features and requirements of each property.
- Screen rental applications, verify supporting information, and provide recommendations.
- Prepare leases and coordinate tenant move-ins and move-outs.
- Complete move-in, move-out, and periodic inspections.
- Work to minimize vacancy periods and achieve appropriate rental rates for property owners.
Maintenance Coordination
- Receive and respond to tenant maintenance requests.
- Assess the urgency and scope of reported maintenance issues.
- Coordinate repairs with internal maintenance staff and third-party contractors.
- Obtain quotes and property owner approvals when required.
- Monitor maintenance work to ensure it is completed properly and within an appropriate timeframe.
- Communicate updates to property owners and tenants throughout the repair process.
- Assist with preventative maintenance planning and property improvement projects.
Property Owner and Tenant Relationships
- Serve as the primary point of contact for assigned landlords and tenants.
- Provide property owners with timely updates regarding leasing, maintenance, tenant concerns, and property performance.
- Respond professionally and respectfully to tenant questions and concerns.
- Help resolve disputes and challenging situations in a practical and balanced manner.
- Build long-term relationships by providing responsive, reliable, and proactive service.
Business Development and Portfolio Growth
- Identify opportunities to attract new property owners and properties to Proactive Property Management.
- Respond to inquiries from prospective property management clients.
- Meet with property owners to understand their needs and explain the company’s services.
- Prepare proposals and support the onboarding of new properties.
- Develop relationships with real estate professionals, investors, contractors, and other referral partners.
- Seek opportunities to add additional properties from existing property owner clients.
- Represent the company professionally at networking events, property meetings, and community activities.
Qualifications
- Previous experience in residential property management, leasing, real estate, hospitality, customer service, or a related field.
- Strong understanding of property owner and tenant relationships.
- Knowledge of Ontario’s residential tenancy environment is considered a strong asset.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple properties, priorities, and deadlines.
- Comfortable handling difficult conversations and resolving conflicts.
- Strong attention to detail and record-keeping skills.
- Sales, business development, or client relationship experience is considered an asset.
- Comfortable using property management software, Microsoft Office, email, and online advertising platforms.
- Valid driver’s licence and reliable access to a vehicle.
- Ability to attend properties throughout Kingston and the surrounding area.
- Availability to respond to occasional urgent or after-hours property matters.

Pay: $44,109.56-$90,676.00 per year
