Position: Operations Coordinator

Hyperion Solutions is currently seeking an experienced Operations Coordinator to join our Good Gate team, based out of Edmonton, AB, Canada. Reporting to the Production Supervisor, this position plays an integral part on the team in coordinating operational processes, supporting production planning, managing purchasing activities, maintaining inventory accuracy, and ensuring timely communication with customers, vendors, and internal stakeholders. The successful candidate will be a trusted team member who helps ensure the smooth and efficient operation of the business.
Operations Administration
· Collect, process, and distribute incoming mail and related correspondence.
· Coordinate bank deposits and work closely with Finance to ensure accurate and timely processing of payments.
· Support payroll administration by reviewing payroll-related information for accuracy prior to submission to Human Resources.
· Maintain organized records, files, and documentation to support business operations.
· Perform general administrative duties and provide operational support as required to support the growth of the organization.
Production Scheduling & Coordination
· Coordinate production scheduling activities in collaboration with the Production Manager.
· Monitor production schedules and communicate changes to ensure alignment between operations, purchasing, and customer expectations.
· Assist with prioritizing production requirements to meet customer delivery commitments.
· Track production status and identify potential delays or bottlenecks for timely resolution.
Purchasing & Inventory Management
· Create and process purchase orders for materials, supplies, and services.
· Follow up with suppliers to confirm order status, delivery schedules, and lead times.
· Coordinate material purchasing activities to support production requirements while maintaining appropriate inventory levels.
· Conduct inventory counts and reconcile inventory discrepancies.
· Maintain accurate inventory records and support inventory control initiatives.
· Assist in identifying opportunities to improve purchasing efficiency and inventory management processes.
Shipping & Customer Communication
· Prepare shipping documentation, labels, and related paperwork.
· Maintain shipping logs and shipment records.
· Coordinate shipping activities with carriers, suppliers, and customers.
· Provide shipment notifications and delivery updates to customers.
· Issue weekly customer ETA reports and proactively communicate any schedule changes or delivery concerns.
· Assist with customs documentation where applicable.
Vendor & Service Coordination
· Coordinate external services including cleaning, waste removal, recycling, scrap metal collection, and other facility-related services.
· Maintain relationships with service providers and ensure services are delivered as scheduled.
· Obtain quotes and coordinate vendor activities as needed.
Cross-Functional Collaboration
· Work closely with Production, Finance, Human Resources, suppliers, and customers to support business objectives.
· Assist with operational reporting and data collection.
· Support process improvements that increase efficiency, accuracy, and customer satisfaction.
· Participate in special projects and continuous improvement initiatives.
- 3+ years of experience in operations coordination, administration, manufacturing support, supply chain, or a related role.
- Experience supporting production scheduling, purchasing, inventory control, or logistics functions.
- Intermediate proficiency in Microsoft Excel and strong working knowledge of Microsoft Outlook, Teams, Word, and SharePoint.
- Strong organizational and multitasking abilities with the ability to manage multiple priorities.
- Excellent attention to detail and commitment to accuracy.
- Strong verbal and written communication skills.
- Ability to work independently while managing competing priorities.
- Experience handling confidential information with professionalism and discretion.
