Job Summary
We are seeking a professional and organized Receptionist/Administrator to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office and clerical skills, proficiency with various software tools, and excellent communication abilities. Experience in medical or dental offices is a plus, but not required. Duties
- Greet visitors and clients professionally at the front desk, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and maintain calendars using Microsoft Office and Google Workspace tools
- Perform data entry tasks accurately using computer skills and QuickBooks for bookkeeping and record-keeping
- Handle filing, document management, and maintain organized records for easy retrieval
- Provide customer support via phone, email, or in person, demonstrating excellent phone etiquette
- Assist with administrative tasks such as proofreading documents, preparing correspondence, and managing mail
- Support medical or dental office operations by managing patient or client information securely
- Maintain a clean and organized reception area to promote a welcoming environment
Qualifications
- Proven clerical or administrative experience, preferably in an office setting or medical/dental practice
- Strong computer skills with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry software
- Experience with QuickBooks or bookkeeping is advantageous
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional customer service skills with professional phone etiquette
- Ability to handle multi-line phone systems effectively and manage front desk responsibilities seamlessly
- Attention to detail for proofreading documents and maintaining accurate records
- Prior experience in medical or dental office settings is preferred but not mandatory
- High school diploma or equivalent required; additional administrative certifications are a plus
Pay: $18.00-$20.00 per hour
