Tuesday - Saturday Shift (initial schedule)
Starts at 5:30 am
The Role
The Administrative Assistant is responsible for providing comprehensive administrative support to the office, ensuring efficient operation of the day-to-day tasks. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. The ideal candidate is proactive, efficient, and able to maintain a high level of confidentiality.
Key Responsibilities:
o Answer and manage incoming phone calls with professionalism and courtesy, demonstrating excellent phone etiquette.
o Operate office equipment such as printers, copiers, and phone systems to facilitate daily operations.
o Utilize office computer systems to perform data entry, manage files, scan, and maintain accurate records.
o Maintain filing systems, both electronic and paper-based, ensuring easy access to important information.
- Administrative Tasks:
- Prepare, update documents such as Invoice records. Perform proofreading of documents to ensure accuracy and clarity.
- Assist and ensure accuracy of sales orders and coordinate any variances and findings
o Collaborate with team members to enhance customer service experiences and resolve inquiries effectively.
- Data Management:
- Input, update, and manage data in office software, spreadsheets, and databases.
- Ensure the accuracy, security, and confidentiality of sensitive information.
- Generate and compile reports and summaries for both internal and external stakeholders.
4. Communication:
- Serve as a liaison between the company and clients, vendors, or stakeholders to ensure clear, timely communication.
- Draft, proofread, and distribute internal and external communications such as emails, memos, and newsletters.
- Support HR and finance departments by assisting with onboarding tasks, invoice processing, and expense tracking as required.
5. Other Duties:
o Perform other administrative tasks as assigned by management.
o Contribute to office culture by maintaining a positive and professional attitude.

Qualifications/Requirements
Education: High School Diploma or equivalent (Associate's or Bachelor’s degree preferred).
Experience: Minimum of 1-3 years of administrative experience.
Skills:
· Proven experience in an administrative role or as an office clerk is preferred.
· Strong customer service skills with a focus on providing positive experience for clients and colleagues.
· Familiarity with office software applications (e.g., Microsoft Office Suite) is essential.
· Excellent organizational skills with the ability to prioritize tasks effectively.
· Attention to detail is critical for proofreading documents and maintaining accurate records.
· Ability to work independently as well as collaboratively within a team environment.
· Strong written and verbal communication skills.
· Excellent organizational and multitasking abilities.
· Ability to work independently and as part of a team.
· Strong problem-solving skills and attention to detail.
Preferred:
- Basic knowledge of bookkeeping and office procedures.
- Familiarity with Quickbooks and inventory management system and online tools for business.
