Overview
As Receptionist, you are the first face our clients see and the first voice they hear. You set the tone for every client relationship at DIC. This is not a passive desk role — you are an active, professional member of a small, busy team in a regulated environment where accuracy, discretion, and warmth are equally important.
We are looking for someone who thrives in a professional office setting, takes genuine pride in client service, and understands that working in an immigration consulting firm means dealing with people at meaningful, sometimes stressful, moments in their lives.
Client-Facing & Reception
- Welcome and greet all clients and visitors warmly and professionally upon arrival
- Answer, screen, and direct all incoming telephone calls; manage voicemail and ensure timely follow-up
- Manage the firm's general email inbox and route correspondence appropriately
- Schedule and confirm client consultations, follow-up appointments, and telephone calls
- Maintain a clean, organized, and welcoming reception and waiting area at all times
- Provide clients with intake forms and guide them through the information-collection process
Administrative Support
- Prepare, scan, organize, and upload client documentation to the firm's case management system
- Maintain physical and digital client files with precision and confidentiality
- Handle incoming and outgoing mail, courier services, and document delivery
- Order and maintain office supplies and ensure equipment is in working order
- Support the Principal Consultant and Case Manager with day-to-day administrative tasks
- Assist with preparation of standard letters, forms, and correspondence templates under supervision
Compliance & Confidentiality
- Handle all client information with strict confidentiality in compliance with CICC regulatory requirements
- Follow the firm's privacy and data management protocols at all times
- Maintain visitor and appointment logs accurately
Pay: $21.00 per hour
