Front Office Team MemberNCN Thompson Bus
NCN Thompson Bus is seeking a friendly, professional, and customer-focused Front Office Team Member to join our dynamic team. This role is essential in creating a welcoming environment for our clients and ensuring smooth day-to-day front office operations.
The ideal candidate will possess excellent communication skills, strong organizational abilities, and a customer service-oriented mindset. The ability to multitask efficiently in a fast-paced transportation environment is essential. Multilingual or bilingual abilities are highly valued to better serve our diverse client base.
Key Responsibilities
- Greet clients warmly and provide exceptional customer service at all times
- Manage client inquiries over the phone, through email, and via outbound calls
- Handle multi-line phone systems professionally and courteously
- Respond promptly to client inquiries, requests, and concerns
- Maintain accurate records and manage ticket bookings using company booking software
- Assist with freight processing operations, including:
- Coordinating freight pickups
- Attending client calls related to freight services
- Routing freight pickups efficiently
- Processing freight documentation
- Generating waybills
- Conduct daily feedback and follow-up calls with passengers
- Maintain daily call logs and operational records
- Ensure the front office remains organized, professional, and well-maintained at all times
- Keep office files, operational paperwork, schedules, and client records properly organized and up to date
- Support office administration and assist team members with operational coordination as required
Requirements
- Previous experience in front desk operations, customer service, transportation, or hospitality is preferred
- Experience working with a bus company or knowledge of bus operations is considered a strong asset
- Strong phone etiquette and excellent verbal and written communication skills
- Professional demeanor with a customer service-focused attitude
- Strong organizational skills with the ability to keep office operations, files, and documentation well organized and in proper order
- Ability to multitask and manage multiple priorities in a fast-paced environment
- Strong attention to detail and problem-solving abilities
- Multilingual or bilingual abilities are considered an asset
- Familiarity with multi-line phone systems and booking or guest service software is preferred
- Knowledge of customer service best practices and operational procedures
- Flexibility to work various shifts, including evenings and weekends if required
