We are seeking a reliable and proactive Real Estate Assistant to support a busy and successful father-and-son real estate team serving North Bay and Callander. This role combines transaction coordination, client service, administrative support, and marketing assistance to ensure an exceptional client experience from listing to closing.
Key ResponsibilitiesAdministration & Business Operations
- Manage day-to-day administrative operations for the real estate team
- Create and maintain systems for buyers, sellers, lead generation, follow-up, and client database management
- Prepare listing materials including pre-listing packages, Listing Agreements, property profiles, feature sheets, and marketing collateral
- Coordinate property staging, photography, cleaning, repairs, signage, lockboxes, and marketing activities
- Schedule and coordinate showings and provide seller feedback updates
- Organize and support public and agent open houses, including event setup and coordination
Transaction Coordination & Real Estate Documentation
- Prepare, review, and coordinate offers, agreements, amendments, waivers, and other required real estate transaction paperwork
- Assist with drafting and processing all necessary forms and documentation in compliance with RECO and brokerage requirements
- Oversee transactions from accepted offer through closing
- Maintain communication with clients, cooperating agents, lenders, lawyers, inspectors, and other service providers
- Ensure all files and documentation are complete and submitted for brokerage compliance
- Track transaction timelines, conditions, deadlines, deposits, and closing requirements
Marketing & Client Engagement
- Manage and update the CRM and client database systems
- Create buyer and seller presentation packages, flyers, social media graphics, signage, and event invitations
- Maintain and update website content and online property listings
- Manage and grow social media platforms including Facebook and Instagram
- Track and respond to inbound leads from websites, advertising, and social media channels
- Coordinate client appreciation events and vendor partnerships
- Assist with creating and distributing property marketing videos and agent branding content
Qualifications
- Ontario real estate licence is preferred; however, unlicensed applicants with strong real estate administrative and transaction experience will also be considered
- Experience preparing offers and handling real estate transaction paperwork is required
- Minimum 1+ year of experience in real estate administration or transaction coordination preferred
- Strong understanding of the Ontario real estate transaction process and industry documentation
- Proficiency with Microsoft Office (Word, Excel), Gmail, Canva, CRM systems, and social media platforms
- Excellent organizational skills with exceptional attention to detail
- Ability to work independently, prioritize tasks, and manage multiple deadlines
- Strong written and verbal communication skills
