About the Role
Meadow Group Limited is seeking a reliable and resourceful Property Operations Coordinator to support the day-to-day coordination of its property portfolio. This is a fully remote role with flexibility in how the work is organized. The successful candidate will work primarily from home while travelling to company properties as needed to meet tenants, contractors and service providers, inspect completed work and address property-related matters.
This opportunity may be structured as either part-time employment or an independent contractor/subcontractor engagement, depending on the successful candidate's experience, availability and the nature of the final working arrangement.
Key Responsibilities
Property Operations
· Serve as a key point of contact for routine tenant and property-related matters.
· Coordinate maintenance requests, repairs, inspections and preventative maintenance activities.
· Visit properties as required to assess issues, confirm work requirements and inspect completed work.
· Monitor outstanding property matters and ensure timely follow-up and resolution.
· Help maintain organized property records, service information, warranties, access details and related documentation.
Contractor & Vendor Coordination
· Identify, contact and coordinate contractors, tradespeople and service providers.
· Obtain and compare quotations, clarify scopes of work and present recommendations to the ownership group.
· Schedule approved work and coordinate site access with tenants and service providers.
· Monitor service quality, timelines and completion of assigned work.
· Build and maintain a reliable network of local vendors and property service providers.
Property Projects
· Assist with small repairs, improvements, renovations and other property-related projects.
· Coordinate project schedules, site visits, contractor communication and progress updates.
· Track project action items and escalate delays, concerns or scope changes to the ownership group.
· Confirm that completed work generally aligns with the approved scope before close-out.
Operational Support
· Provide clear and timely updates to the ownership group regarding property activities, priorities and concerns.
· Support insurance inspections, utility coordination, security, landscaping, snow removal and other property services as required.
· Assist with other operational or administrative tasks connected to the property portfolio.
· Attend occasional in-person meetings with the ownership group.
Qualifications
· Previous experience in property management, commercial real estate, facilities, construction, trades coordination, operations or administrative coordination.
· Strong organizational skills with the ability to manage multiple open items and follow through to completion.
· Professional and responsive communication with tenants, contractors, vendors and ownership.
· Comfort working independently in a remote environment with limited day-to-day supervision.
· Sound judgment, initiative and a practical approach to resolving property issues.
· Working knowledge of Microsoft Office and comfort using email, shared documents and basic digital tracking tools.
· Valid Ontario driver's license, reliable transportation and the ability to travel throughout Windsor-Essex.
· Property management, facilities, construction or project coordination education is an asset but is not mandatory.
