Alliance West is seeking a detail-oriented and highly organized Accounting/Administrative Assistant to support the accounting and administrative functions of a commercial real estate portfolio totaling approximately 1,000,000 square feet across 35 properties.

THE ROLE: Commercial Property Management - Accounting /Administrative Assistant
This role will support lease administration, rent processing, and accounts payable functions for a portfolio of approximately 450 tenants.
Job Duties
· Provide general administrative and accounting support to the Accounting and Operations teams as required
Support to Assistant Controller
· Coordinate onboarding of new tenants, including EFT setup and account configuration
· Coordinate with Assistant Controller in managing tenant arrears, including payment rescheduling and professional tenant communication
· Coordinate with Assistant Controller to process year-end operating cost entries
· Maintain accurate tenant accounts and support rent tracking within the property management system
Support to Accountant
· Post and process online invoice payments accurately and in a timely manner
· Process monthly tenant rent collections, including EFT (Electronic Funds Transfer) transactions
· Organize and file physical invoices weekly to maintain accurate and accessible records
· Complete bank reconciliations and ensure Yardi tenant profiles are accurately updated to align with bank statements
Support to Bookkeeper
· Monthly chargebacks for all properties for Kimai, Home Depot, and misc. expenses
· Filing documents as needed
Support to Operations Manager
· Review and approve accounts payable for maintenance contracts and recurring expenses
· Assist with weekly Kimai Reporting to be completed every Tuesday and sent to Property Manager and Operations Managers
· Assist Operations Manager with maintaining and updating Operations Calendar (contracts)
Qualifications
- Ability to work independently while contributing to a collaborative team environment
- Exceptional attention to detail and accuracy in data entry and financial records
- Previous experience in an accounting, bookkeeping, or administrative support role, preferably within property management or real estate
- Proficiency in Yardi Breeze (required or strongly preferred), including tenant accounts, rent processing, and payables
- Professional communication skills, both written and verbal, with strong tenant-facing capability
- Solid understanding of basic accounting principles, including payables and receivables processes
- Strong organizational skills with the ability to manage multiple priorities and deadlines
- Strong working knowledge of Microsoft Excel and general Microsoft Office applications
Pay: $25.00-$30.00 per hour
Expected hours: 40.0 per week
