We are seeking a professional, compassionate, and highly organized Front Office Medical Assistant to become the face of our practice. This role is ideal for someone who enjoys patient interaction, thrives in a fast-paced environment, and takes pride in delivering outstanding customer service.
Position Overview
As a Front Office Medical Assistant, you will create a welcoming patient experience while supporting the administrative and clinical workflows of our cosmetic surgery and ophthalmology team. You will work with patients seeking cosmetic procedures, dry eye treatment, eyelid surgery, cataract surgery, and comprehensive ophthalmic care.
Patient Experience & Front Desk
· Welcome patients and visitors professionally.
· Answer and manage telephone calls and electronic inquiries.
· Schedule consultations, diagnostic testing, procedures, and surgeries.
· Coordinate physician schedules and operating room bookings.
· Verify patient demographics and referral documentation.
· Collect payments and process transactions.
· Maintain confidentiality and privacy standards.
· Deliver a premium patient experience from first contact through follow-up.
Administrative Duties
· Manage electronic medical records and patient charts.
· Manage multi-line phone systems efficiently, directing calls appropriately and taking detailed messages.
· Coordinate referrals and consultation requests.
· Maintain organized front desk operations, including filing, faxing, and scanning documents.
· Prepare surgical packages, consent forms, and education materials.
· Process physician correspondence and reports.
· Assist with inventory management.
· Support patient financing and payment plans.
· Maintain accurate scheduling and recall systems.
Clinical Support
· Escort patients to clinic rooms
· Assist with intake and room preparation.
· Support physicians with clinic flow and patient education.
· Prepare patients for consultations and procedures.
· Assist with pre- and post-operative coordination.
Qualifications – Required
· Minimum 2 year experience in a medical office or healthcare setting.
· Excellent interpersonal and communication skills.
· Strong organizational skills and attention to detail.
· Professional appearance and demeanor.
· Computer proficiency and willingness to learn new software.
Qualifications – Preferred
· Experience in ophthalmology, optometry, plastic surgery, cosmetic surgery, dermatology, or medical aesthetics.
· Medical Office Administration or Medical Assistant certification.
· Experience with EMR systems and surgical scheduling.
· Knowledge of ophthalmic terminology and diagnostic testing.
