This is a central, high-impact role that works closely with multiple departments to ensure the smooth day-to-day functioning of the organization. The successful candidate is adaptable, detail-oriented, and comfortable managing a wide variety of tasks in a collaborative healthcare environment.
About the Role
The Team Administrative Coordinator provides administrative and coordination support across core functions including operations, human resources, finance, programs, and information systems. This role is ideal for someone who thrives on variety, takes initiative, and enjoys being a key organizational support.
Key Responsibilities
Administrative & Operational Support
- Coordinate meetings, prepare agendas, and compile meeting materials and packages
- Manage calendars and scheduling for leadership team members
- Draft, format, and distribute correspondence and internal communications
- Maintain organized filing systems (electronic and physical)
- Oversee office operations, including supplies ordering and equipment maintenance
- Assign and coordinate workspace for staff, students, and hybrid team members
Human Resources Support
- Maintain employee records, training documentation, and HR files
- Assist with policy updates and document management
- Respond to routine HR-related inquiries from staff
- Support employee engagement initiatives and internal communications
- Assist with recruitment processes
- Coordinate onboarding and offboarding activities
Payroll & Data Coordination
- Collect and compile bi-weekly payroll information
- Support payroll processing by ensuring accurate and timely data entry
- Input new hires and maintain employee data within payroll systems
- Track and process changes in employee status, compensation, and hours
Communications
· Draft and distribute patient communications (newsletters, email updates), ensuring content is clear, accurate, and patient-friendly
· Coordinate and manage social media accounts, including creating and scheduling posts and monitoring engagement
General Support
- Contribute to process improvements and administrative efficiencies
- Provide back-up administrative support across the organization as needed
- Take on special projects and additional duties to support team priorities
Qualifications
- Post-secondary education in administration, business, human resources, or a related field
- 2–4 years of experience in an administrative or coordination role (healthcare or HR setting is an asset)
- Strong organizational and time management skills with the ability to manage competing priorities
- High level of attention to detail and accuracy
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with HRIS/payroll systems is an asset
- Ability to handle sensitive and confidential information with discretion
- Comfortable working both independently and as part of a team
