About the Role
We're looking for a highly organized and proactive Operations Administrator to join our team. This is a fast-paced, varied role that supports the day-to-day operations of our facility while working closely with our Operations, Finance, HSEQ, and HR teams.
As the hub of our office, you'll play a key role in keeping our operations running smoothly, ensuring administrative processes are completed efficiently, and providing outstanding support to both internal teams and external customers. This position also provides backup support to our Finance function, making it an excellent opportunity for someone with strong administrative and financial skills who enjoys wearing multiple hats.
Key Responsibilities
Operations Support
- Maintain electronic records through document scanning, filing, and archiving.
- Procure, track, and maintain operational supplies, including placards, shipping labels, and office supplies.
- Prepare, compile, and distribute operational and client reports.
- Complete and submit KPI reports and other client reporting requirements.
- Coordinate staff travel arrangements when necessary
- Prepare, update, and maintain company forms, documents, and procedures.
- Renew company vehicle registrations.
- Serve as the first point of contact for visitors, customers, and incoming calls.
- Receive, distribute, and manage incoming and outgoing mail.
Finance Support
- Receive, review, and process invoices for approval
- Create purchase orders as required.
- Liaise with customers and suppliers regarding accounts payable matters.
- Provide administrative support to the Finance team and assist with finance-related activities during peak periods or absences.
HSEQ Support
- Maintain inventory of first aid and spill kit supplies.
- Coordinate visitor orientations.
- Assist with emergency preparedness activities, drills, and communications.
- Report incidents, hazards, or policy breaches to management.
HR Support
- Prepare and submit personnel reports to customers.
- Maintain employee training records and training matrices within the internal training database.
- Provide administrative support for HR initiatives as required.
What You'll Bring
- Previous experience in an administrative or office coordination role.
- Experience in a finance or accounting environment is preferred.
- Strong customer service experience with the ability to communicate professionally with clients, vendors, and internal stakeholders.
- Experience supporting accounts payable, accounts receivable, or purchase order processes is considered an asset.
- Excellent organizational skills with the ability to prioritize multiple tasks.
- Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.
- A positive attitude, strong initiative, and a willingness to help wherever needed.

Pay: $45,000.00-$57,000.00 per year
