About the Role
Iron Horse is a growing construction and trenching company operating throughout Canada and the United States. We are seeking a detail-oriented, self-motivated Accounting & Cost Control Specialist to manage full-cycle bookkeeping across multiple companies, monitor project costs, and help keep our financial operations organized and accurate.
This is a hands-on remote position requiring someone who enjoys structure, can manage multiple company files simultaneously, and communicates proactively. You will work closely with ownership and project management to oversee accounts payable, accounts receivable, payroll, banking, project costing, and intercompany transactions.
Key Responsibilities
Project Cost Control
- Track daily project costs using internal cost tracking spreadsheets.
- Monitor and reconcile employee expenses and reimbursements.
- Assist with project cash flow forecasting.
- Compile project costs for billing and reporting.
- Complete vendor, customer, and subcontractor prequalification and credit forms.
Accounts Payable
- Monitor multiple email inboxes daily (AP, Info, and direct).
- Save, rename, and organize vendor invoices using company filing standards.
- Enter invoices into QuickBooks Online for multiple companies.
- Prepare weekly Accounts Payable reports for management approval.
- Process approved payments and maintain vendor records.
Accounts Receivable
- Create and post customer invoices in QuickBooks Online.
- Maintain organized customer invoice files.
- Monitor incoming payments and apply deposits.
- Follow up on overdue invoices when required.
Banking & Cash Management
- Review Canadian bank accounts daily.
- Import U.S. bank transactions via CSV into QuickBooks Online.
- Categorize transactions accurately.
- Save banking confirmations and payment records.
- Assist with cash flow tracking and reporting.
Credit Cards
- Import U.S. credit card transactions into QuickBooks Online.
- Code expenses accurately.
- Identify shareholder or personal transactions when applicable.
- Match receipts to transactions.
Intercompany Accounting
- Record and reconcile Due To/Due From transactions between companies.
- Track shared expenses, payroll allocations, and vendor payments.
- Record CAD/USD currency exchange adjustments.
Payroll (Bi-Weekly)
- Import employee hours from the field management system.
- Process payroll using ADP.
- Enter LOA, expense reimbursements, benefits, and deductions.
- Ensure payroll deadlines are consistently met.
QuickBooks Online
- Maintain multiple QuickBooks Online company files.
- Review uploaded receipts weekly.
- Match receipts to transactions.
- Keep company books current and organized.
Month-End
- Complete monthly bank reconciliations.
- Reconcile credit card statements.
- Request PDF and CSV statements when required.
- Assist in preparing monthly financial reports.
Quarterly & Year-End Support
- Support quarterly GST filings.
- Provide fuel and credit card reports for cross-border compliance.
- Assist with WCB Annual Wage Returns.
- Assist with insurance renewals and employee benefits renewals.
- Prepare documentation for external accountants during year-end.
Qualifications
Required
- 3+ years of full-cycle bookkeeping experience.
- Advanced knowledge of QuickBooks Online.
- Experience managing multiple company files.
- Experience processing payroll using ADP.
- Knowledge of intercompany accounting.
- Experience with CAD/USD transactions.
- Strong Microsoft Excel skills.
- Excellent organizational and time management skills.
- Ability to work independently with minimal supervision.
- Strong written and verbal communication skills.
Preferred
- Construction or heavy civil industry experience.
- Experience with project costing.
- Knowledge of GST/HST filings.
- Experience with WCB reporting.
- Experience supporting year-end accounting.
- Familiarity with multi-company corporate structures.
