Role Description:
Reporting to the Strategic Partnerships & Special Projects Lead, the position works closely with the other Supplies and Logistics Coordinators, Program Coordinators, other Program Managers and the IT Systems Administrator. The Supplies and Logistics Coordinator will support all ICHA programs as the main contact for supply management, day-to-day logistics and adherence to ICHA standards and guidelines. The role interacts with ICHA partners through regular site visits to ensure adequate, clean and supplied space is provided to our clinicians.
Roles and Responsibilities:
- Forecast costs and anticipated supply needs for ICHA programs.
- Document and track supply usage across ICHA programs through dashboards and budgets.
- Support vaccine management activities, including vaccine fridge management, inventory tracking, packing, and ordering, to ensure timely availability of vaccines for clinics.
- Act as a point of contact for ICHA Clinicians, troubleshooting day-to-day logistics (e.g.,
- printer connectivity, no administrative support, inadequate clinic space, pharmacy and laboratory relationships).
- Organize bulk medical supplies and charitable donations in storage space located at ICHA’s head office.
- Develop program-specific storage and order solutions with program staff.
- Collaborate with the Finance team to develop business analysis programs related to invoicing and purchase order (PO) management to improve financial tracking and reporting.
- Support the IT Systems Administrator to log, request and anticipate IT supply needs for
- ICHA programs and projects.
- Provide on-site support for vaccine clinics and other clinical services, ensuring shelter partners understand, implement, and adhere to clinic expectations, including ICHA’s guidelines and operational requirements (e.g., Network Security Guidelines).
- Working with the IT Systems Administrator and Occupational Health Services, complete an Annual Check-in with each clinic partner.
- Attend and organize meetings with partners on an as-needed basis (e.g., supply donors, laboratories, pharmacies).
- Other tasks as assigned.
Qualifications:
- Secondary education at a bachelor’s level or equivalent.
- Strong skills in supply and logistics with the ability to analyze and forecast supply needs and costs.
- Experience working with clinicians and knowledge of medical supplies preferred.
- Experience in working with multiple partners in a complex organizational and community environment.
- Outstanding organizational and time management skills; ability to support multiple activities and processes concurrently, continuously identifying and addressing competing priorities in a timely and effective manner.
- Shows initiative, looks for changes or improvements in own work area and shows willingness to take on new responsibilities.
- Strong skillset in Excel, SharePoint and other Microsoft 365 applications.
- Self-directed, with excellent problem-solving skills to meet deadlines in a demanding environment.
- Open-minded, non-judgmental with a commitment to upholding the rights and dignity of all people and respecting their diversity.
