PURPOSE OF POSITION
To review all invoices from Auction Markets and Clients in accordance with
Program outlines and policies. To set up invoices for payment, requisition funds from Farm Credit Canada and update the CFC database. Processing Cattle Proceeds cheques, applying payment to FCC, updating database and issue General Ledger cheques. Respond to inquiries from external and internal clients.
MAJOR RESPONSIBILITIES
- Reviews all invoices to ensure that cattle were purchased through approved markets, that maximums are not exceeded and that the invoice complies with program regulations. Reviews the database to ensure that the loan is registered and that documents for the loan are in place. Checks for adequate deposit in accordance with the loan program. Inputs the purchase into CFC accounting and requisitions the funds from Farm Credit Canada. Updates the CFC database. Prepares invoices for feed advances, branding irons, ear tags, credit invoices, etc.
Review all proceeds cheques. Input money to FCC and issue cheques back to clients.
- Responds to external calls for information on invoices and payments from Auction Markets, clients and cattle buyers and clarifies requirements. Responds to account inquiries from Manager, Clients and Brand Inspectors. Responds to inquiries from Farm Credit Canada on disbursements, etc. Prints contracts from CFC database and provides to clients, etc.
- Prepares letters with regard to annual fees on the 3 and 5 year cow loans by running reports, verifying the loans that are due and the fees applicable for each loan based on the cattle remaining. Prepare mail merge and forwards letters to clients.
KNOWLEDGE
The work requires you to learn the Feeder Finance and Cow/Calf Procedures Manual, knowledge of computerized Personal Property Registry systems, bank experience or accounting experience. Advanced knowledge of Microsoft Word and Excel are required. Any experience with databases would be an asset.
COMPLEXITY
This position requires attention to detail and accuracy. The work is primarily well defined however some analysis of accounts is required.
DECISION MAKING & IMPACT
Limited decision-making is required; however, work procedures are carried out with discretion in establishing workload priorities. Employees have regular contact with Auction Markets, clients, trade partners etc.
Pay: $20.00-$23.00 per hour
