Windsor Bodyworks is a growing collision repair facility dedicated to providing exceptional customer service and high-quality repairs. We are currently looking for a friendly, organized, and professional Receptionist / Administrative Assistant to join our team.

Responsibilities
- Answer and direct incoming phone calls
- Greet and assist customers in a professional and friendly manner
- Create and maintain repair work orders
- Update insurance companies regarding repair status
- Communicate repair updates with customers
- Schedule appointments and coordinate customer inquiries
- Maintain accurate records and documentation
- Assist with general office administration and clerical duties
- Support management and staff with various administrative tasks
Qualifications
- Strong communication and customer service skills
- Professional appearance and positive attitude
- Excellent organizational and multitasking abilities
- Basic computer skills and familiarity with Microsoft Office
- Ability to work in a fast-paced environment
- Previous reception, customer service, or administrative experience is considered an asset, but not required
- Willingness to learn and grow within the company

Responsibilities
- Greet patients and visitors in a friendly and professional manner at the front desk
- Manage multi-line phone systems to handle appointment scheduling, patient inquiries, and internal communications
- Schedule, confirm, and reschedule patient appointments efficiently using Dentrix or similar dental software
- Maintain accurate patient records within electronic medical records systems
- Collect patient information, verify insurance details, and process payments
- Assist with administrative tasks such as filing, data entry, and correspondence
- Ensure the reception area remains clean, organized, and welcoming
- Support clinical staff by managing patient flow and coordinating appointment logistics
- Handle incoming mail and correspondence as needed
- Adhere to HIPAA regulations and maintain confidentiality of patient information
Qualifications
- Prior experience as a dental receptionist or in a medical office setting preferred
- Proficiency with dental software such as Dentrix and Epic; familiarity with electronic medical records systems required
- Knowledge of medical terminology relevant to dental and healthcare environments
- Strong organizational skills with attention to detail
- Excellent communication skills, both verbal and written
- Experience managing multi-line phone systems in a fast-paced environment
- Office experience including administrative support functions preferred
- Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
- Previous experience working in a healthcare setting is highly desirable
