Job Summary
We are seeking a detail-oriented and organized Bookkeeper/Administrative Assistant to join our team. This role combines essential bookkeeping responsibilities with administrative support duties, ensuring smooth office operations. Duties
- Manage accounts receivable and payable using QuickBooks
- Perform data entry and maintain accurate financial records
- Handle invoicing, billing, and bank reconciliations
- Assist with payroll processing and tax preparations
- Provide administrative support including filing, document management, and record keeping
- Answer multi-line phone systems and direct calls appropriately
- Greet visitors at the front desk with professional phone etiquette and customer service skills
- Schedule appointments, manage calendars, and coordinate meetings
- Support medical or dental office functions as needed, including patient check-in and appointment scheduling
- Prepare correspondence, proofreading documents for accuracy and clarity
- Maintain organized filing systems both digitally (Google Workspace) and physically
Skills
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace
- Strong data entry skills with high accuracy and typing speed
- Excellent organizational skills with attention to detail
- Clerical experience with filing systems and front desk responsibilities
- Experience handling multi-line phone systems and providing superior customer support
- Knowledge of medical or dental office procedures is a plus, including dental receptionist or dental office experience
- Effective communication skills with good phone etiquette
- Ability to perform proofreading and ensure document accuracy
- Previous administrative experience demonstrating multitasking capabilities and professionalism
