Job Overview
We are seeking an energetic and detail-oriented Installation Coordinator Dispatch to join our dynamic team. In this role, you will be the vital link between customers, technicians, and suppliers, ensuring that installation appointments are scheduled accurately and efficiently. Your proactive approach will help maintain smooth operations, enhance customer satisfaction, and support our commitment to service excellence.
Duties
- Coordinate installation schedules by dispatching technicians based on job requirements, technician availability, and geographic considerations using transportation management systems.
- Communicate clearly with customers to confirm appointment details, gather necessary information, and provide updates throughout the process.
- Manage shipping and receiving logistics for installation materials and equipment, ensuring timely delivery and proper documentation.
- Utilize supply chain management tools such as SyteLine or AS400 to track orders, inventory levels, and shipment statuses.
- Enter data accurately into multiple systems, including freight management platforms and multi-line phone systems, maintaining detailed records of all dispatch activities.
- Analyze operational data to identify opportunities for process improvements in freight handling, scheduling efficiency, or resource allocation.
- Maintain professional phone etiquette while handling inquiries via multi-line phone systems, demonstrating excellent communication skills at all times.
Skills
- Proficiency with transportation management systems (TMS) for scheduling and dispatching.
- Strong understanding of supply chain processes and freight logistics.
- Experience working with third-party logistics providers (3PL) is a plus.
- Familiarity with enterprise resource planning (ERP) systems such as SyteLine or AS400 for order tracking and data entry.
- Excellent analysis skills to interpret operational data and optimize dispatch workflows.
- Exceptional communication skills paired with professional phone etiquette and effective listening abilities.
- Fast and accurate typing skills combined with experience managing multi-line phone systems.
- Knowledge of shipping & receiving procedures to coordinate timely delivery of installation materials.
