The Frost Student Association (FSA) is looking for a creative, organized, and student-focused individual to join our team as a Communications & Administrative Coordinator.
This role combines communications, outreach, and office administration. You'll help tell the story of the FSA through social media, digital content, and promotional materials while supporting the day-to-day operations that keep our organization running smoothly.
You'll play an important role in helping students connect with the services, events, and opportunities available through the FSA.
This is a new and evolving position that will begin at approximately 20 hours per week and gradually transition to full-time as the role grows. The successful candidate will initially focus primarily on communications, content creation, and student engagement, while administrative responsibilities and organizational systems are gradually introduced and supported through ongoing training as the position expands.
What You'll Do:
Communications & Outreach
- Create engaging content for social media, newsletters, digital screens, the website, and other communication channels.
- Design posters, graphics, infographics, and other promotional materials.
- Manage FSA's social media presence, maintain a content calendar, and coordinate regular communications that support events, services, and organizational priorities.
- Keep website content up to date and ensure information remains accurate and relevant.
- Monitor engagement and analytics to better understand what students are interested in and how they prefer to connect.
- Help tell the story of the FSA by promoting events, services, initiatives, and student opportunities.
- Work closely with staff, student leaders, and Board members to promote activities and increase student engagement across campus.
Administration & Office Support
- Provide day-to-day administrative support to the FSA Board of Directors and staff team.
- Manage incoming and outgoing communications, including email, phone, and mail correspondence.
- Maintain accurate records, filing systems, and organizational documentation in both digital and physical formats while ensuring confidentiality and accuracy.
- Prepare and organize documents for external partners, vendors, service providers, bookkeepers, and consultants.
- Track invoices, receipts, forms, reports, and other documents to ensure records remain complete and organized.
- Monitor office supply levels and coordinate purchases when needed.
- Support general office operations and organizational workflows.
Student & Community Engagement
- Assist with FSA events, outreach activities, and student engagement initiatives.
- Gather student feedback and help identify opportunities to improve communication and engagement.
- Represent the FSA professionally at campus and community events.
- Help foster a welcoming, inclusive, and student-focused environment through daily interactions with students, staff, and community partners.
What We're Looking For:
The ideal candidate will have:
- Strong written and verbal communication skills.
- Creativity and an eye for engaging digital content, storytelling, and design.
- Confidence using social media platforms, communication tools, and digital technology.
- Excellent organizational skills and the ability to support evolving administrative processes.
- The ability to manage multiple priorities and adapt in a fast-paced environment.
- Attention to detail and a commitment to producing accurate, high-quality work.
- A collaborative, team-oriented approach and willingness to support others.
- Professionalism and discretion when handling sensitive or confidential information.
Qualifications
- Two to four years of experience in communications, marketing, content creation, student engagement, or a similar role. Experience with administrative processes is considered an asset and support/training will be provided as the role evolves.
- Post-secondary education in Communications, Marketing, Business Administration, or a related field is considered an asset.
- We welcome applicants with an equivalent combination of education, training, skills, and relevant experience.
- Experience creating content and managing social media platforms for an organization or brand.
Additional Assets
Experience with any of the following would be considered an asset:
- Canva, Adobe Creative Suite, CapCut, or similar content creation and design platforms.
- Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Website content management systems.
- Social media management and scheduling tools.
- Basic photography, videography, and video editing.
- Experience supporting events, member engagement, or community outreach initiatives.
- Experience with data entry, recordkeeping, and administrative processes.
- Experience in a non-profit, membership-based organization, student association, or post-secondary environment.
Compensation and Benefits:
- $27.00 per hour.
- Position will begin at approximately 20 hours per week.
- Hours will gradually increase, with a target of 35 hours per week by March 31, 2027.
- Group benefits package will be provided upon transition to full-time status.
- Some evening and weekend work may be required to support events and special initiatives.
