Gobind Sarvar School is seeking a highly organized, detail-oriented, and proactive Student Information System Specialist to join our administrative team. The successful candidate will play a key role in supporting the daily operations of the school while maintaining accurate student records and providing exceptional administrative support.
The ideal candidate will have experience working with PowerSchool Student Information System (SIS) and possess strong organizational, communication, and customer service skills. This position requires a high level of accuracy, confidentiality, and the ability to manage multiple priorities in a fast-paced educational environment.

Key Responsibilities
PowerSchool Administration
- Maintain and manage student records within the PowerSchool Student Information System (SIS).

Process student registrations, withdrawals, transfers, and demographic updates.

Maintain accurate student attendance, enrollment, scheduling, report cards, and academic records.

Generate reports from PowerSchool to support school administration and Alberta Education reporting requirements.

Ensure student information is accurate, complete, and maintained in accordance with school policies.

Assist staff and administration with PowerSchool inquiries and provide basic user support.

Perform regular audits of student data to ensure data integrity and compliance.
Administrative Support
- Serve as the first point of contact for students, parents, staff, and visitors, providing professional and courteous customer service.

Answer and direct telephone calls, emails, and general inquiries.

Prepare correspondence, reports, forms, meeting agendas, and other administrative documents.

Maintain electronic and physical student files while ensuring confidentiality.

Coordinate office supplies, equipment, and general administrative functions.

Assist with student registrations, admissions, and record requests.

Support school events, meetings, and administrative projects as required.

Process incoming and outgoing mail and maintain office filing systems.
Records & Compliance
- Maintain confidential student and staff records in accordance with privacy legislation and school policies.

Assist with Alberta Education reporting and other regulatory requirements.

Ensure compliance with record retention and information management procedures.

Support document collection for audits and school accreditation processes.
General Office Duties
- Schedule appointments and maintain school calendars.

Assist administrators and staff with day-to-day operational needs.

Maintain accurate inventories of office forms and supplies.

Perform other administrative duties as assigned to support the efficient operation of the school.
Qualifications & Requirements
Education
- Diploma or Certificate in Office Administration, Business Administration, Administrative Professional, or a related field is preferred.
Experience
- Minimum 1–2 years of administrative experience, preferably in a school or educational environment.

Experience working with PowerSchool Student Information System (SIS) is strongly preferred.

Experience with student registration, attendance, scheduling, and records management is considered an asset
Knowledge, Skills & Abilities
- Strong working knowledge of PowerSchool Student Information System (SIS).

Excellent proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Teams).
