Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator to join our dynamic team in the manufacturing industry. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office, supporting various departments, and contributing to the overall efficiency of our manufacturing processes. The ideal candidate will have excellent organizational skills, strong attention to detail, and the ability to multitask in a fast-paced environment.
Responsibilities:
- Administrative Support:
- Provide general administrative support to the office and manufacturing teams.
- Manage phone calls, emails, and other communications, ensuring prompt and professional responses.
- Coordinate and schedule meetings, appointments, and travel arrangements for staff.
- Documentation and Record Keeping:
- Maintain and organize office files, records, and documentation.
- Prepare and process various reports, including purchase orders, invoices, and expense reports.
- Assist in the creation and maintenance of employee records and documentation.
- Supply Chain Coordination:
- Monitor and manage office supplies, ensuring adequate stock levels.
- Collaborate with procurement to order and receive necessary materials and supplies for the office.
- Coordinate with customer regarding shipping documents.
- Facility Management:
- Oversee the day-to-day operations of the office.
- Collaborate with facilities management to ensure a safe and comfortable working environment.
- Event Coordination:
- Assist in the planning and coordination of company events, meetings, and employee gatherings.
- Ensure seamless execution of events by managing logistics and catering.
Qualifications:
- Proven experience as an office administrator, administrative assistant, or similar role.
- Knowledge of office management systems and procedures.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and multitasking abilities.
- Strong communication and interpersonal skills.
- Attention to detail and problem-solving skills.
- Knowledge of basic accounting principles is a plus.
- Previous experience in a manufacturing or industrial setting is desirable.
- Provide front desk support, including greeting visitors and answering phone calls
- Ensure compliance with company policies and procedures
Requirements:
- Strong clerical skills, including data entry, filing, and record keeping
- Proficiency in using JobBoss ERP system is a plus
- Ability to multitask and prioritize tasks effectively
- Experience in budgeting and financial management is a plus
- Knowledge of payroll processes is a plus
Education and Experience:
- High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary is a plus.
- 2+ years of relevant experience in office administration.
