The Order Desk Coordinator is responsible for processing customer orders, providing product and pricing information, coordinating with internal departments, and ensuring timely and accurate order fulfillment. This role serves as a key point of contact between customers, sales representatives, and operations teams to deliver excellent customer service and maintain efficient order processing.
Roles:
- Answering phone calls for general customer service inquiries (phone calls include but not limited to checking stock levels for customers and sales representatives, dealing with material issues, general complaints etc.).
- Obtain customers' names, addresses, and billing information, product numbers, and specifications of items to be purchased, and enter this information on order forms.
- Place orders, prepare invoices, shipping documents, and contracts
- Issue paperwork to customers and warehouse staff (packing slips, invoices etc.).
- Respond in a courteous and professional manner while taking responsibility for customer satisfaction and building customer relationship.
- Inform customers by mail or telephone of order information, such as unit prices, shipping dates, and any anticipated delays.
- Maintain confidentiality of all customer’s needs and company records.
- Receive and respond to customer complaints and follow up with them on back orders.
- Coordinate with warehouse department on stock availability, schedule pickups, issue returns/credits.
- Notify warehouse when supplies of specific items are low, or when orders would deplete available supplies.
- Review orders for completeness according to reporting procedures and forward incomplete orders for further processing.
- Adjust inventory records to reflect product movement.
- File copies of orders received, or post orders on records.
- Recommend merchandise or services that will meet customers' needs
- Process payments (cash, debit, and credit).
- Collect payment for merchandise, record transactions, and send items such as checks or money orders for further processing.
