Position Summary
We are seeking an experienced and detail-oriented Intermediate Legal Assistant to join our legal team. The successful candidate will provide administrative and legal support to lawyers and staff, assist with file management, prepare legal documents, coordinate client communications, and ensure efficient day-to-day operations within the practice.
The ideal candidate possesses strong organizational skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Prepare, draft, format, and proofread legal correspondence and documents.
- Manage legal files from opening through to closing.
- Maintain electronic and physical filing systems.
- Coordinate calendars, appointments, meetings, and court deadlines.
- Communicate professionally with clients, lawyers, courts, government agencies, and third parties.
- Schedule and confirm client meetings and consultations.
- Prepare and file legal documents with courts and regulatory bodies.
- Conduct basic legal research and gather supporting documentation as directed.
- Track limitation periods, deadlines, and important dates.
- Process billing, time entry, and expense submissions.
- Handle confidential information with discretion and professionalism.
- Provide general administrative support to lawyers and the legal team.
Qualifications
- Legal Assistant Diploma, Legal Administrative Assistant Certificate, or equivalent education and experience.
- Minimum of 3–5 years of legal assistant experience.
- Strong knowledge of legal procedures, terminology, and documentation.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and Teams).
- Experience with legal practice management software is considered an asset.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritize workloads and meet deadlines with minimal supervision.

Working Conditions
- Office-based environment.
- Full-time schedule, Monday to Friday.
- Standard hours are 8:00 AM to 5:00 PM; flexibility may be required as business needs dictate.
- Occasional overtime may be required during busy periods.
