Duties
- Manage and maintain project records and daily logs using databases and document management systems such as SharePoint.
- Coordinate procurement activities.
- Support project management teams by preparing reports, presentations, and updates using Microsoft PowerPoint, Word, Excel, and Project.
- Facilitate communication between site personnel and clients through professional correspondence via Microsoft Outlook and other communication tools.
- Organize filing systems and ensure accurate records management for all project documentation to support compliance and audit readiness.
- Assist with scheduling meetings, site visits, and training sessions while managing calendars with Microsoft Outlook and coordinating logistics efficiently.
- Provide exceptional customer service by addressing inquiries from internal teams and external stakeholders promptly and professionally.
- Contribute to time management efforts by prioritizing tasks effectively to meet project deadlines while maintaining high standards of organization.
Qualifications
- Proven administrative experience in a construction or project management environment preferred.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Project, Access, SharePoint, and Windows operating systems.
- Excellent analysis skills combined with organizational skills necessary for records management and database maintenance.
- Demonstrated leadership qualities with the ability to coordinate multiple tasks simultaneously while maintaining attention to detail.
- Exceptional communication skills—both written and verbal—
- Strong time management skills to prioritize workload efficiently in a fast-paced environment.
