Position Overview
We are seeking a loyal and adaptable Executive Assistant to provide comprehensive support to the business owner of an established, generationally diverse, family-owned business. This person values discretion and confidentiality and executes this requirement through all required responsibilities and beyond. Operating 100% on-site from our office in Vaughan, Ontario, this role support and manages corporate operations, family logistics, and private aviation coordination.
The ideal candidate is a dedicated, career-focused Executive Assistant who finds professional fulfillment in organization, supporting time-management and scheduling, balancing all priorities both personal and corporate, and dedicated to building a long-term relationship with the business. Essential Duties and Responsibilities
Calendar & Communications
- Dual Calendar Management: Masterfully coordinate the business owner’s corporate schedule alongside a dynamic personal calendar, ensuring business meetings, travel, family and personal events never conflict.
- Inbox Management: Proactively clear and organize corporate and personal inboxes, drafting responses on the business owner’s behalf and directing internal personal and business requests appropriately ensuring all responsibilities are attended to.
Corporate Administration
- Meeting Minutes & Filings: Attend business meetings to take clear, accurate, and professional minutes. Assist with corporate documentation, record keeping and filing.
- Communication: Comfortably adapt to the different communication styles of a traditional office culture. Manage and execute communication strategies through various methods including, but not limited to, paper, peer-to-peer conversations as well as digital means within a generationally diverse organization.
- Event Coordination: Organize and execute a range of events, from corporate board dinners, off-site conferences and office milestones to small personal gatherings, managing all vendor relationships from start to finish.
Aviation Liaison & Logistics
- Manager Interface: Serve as the central point of contact for the external airplane manager, planning and tracking trips, tracking ongoing plane repairs, scheduled maintenance, and hangar logistics.
- Crew Coordination: Assist with the logistical coordination of pilot hires, crew schedules, and onboarding documentation.
- Flight Management: Oversee end-to-end travel logistics, including flight manifests, FBO details, ground transportation, and catering for private flights.

The Executive Assistant role is newly established and continually developing. The right candidate will openly embrace the role and all responsibilities, understanding that compatibility will be achieved over time through deliberate or natural adaptation to the needs of the Business Owner and the company.
Education, Skills and Abilities
- Education: Bachelor's degree or post secondary education in a related field
- Experience: 5+ years of experience as an Executive Assistant, Legal Assistant or other related field, preferably within a family-owned, privately held organization.
- Technology: Strong technological literacy with hands-on experience using Microsoft Office Suite and other workplace technology and systems.
- Work Style: Comfort working 100% on-site in a traditional, generationally diverse office environment. Exceptional emotional intelligence to navigate varying interpersonal dynamics with patience and tact.
- Aviation Familiarity or Interest: Prior experience or strong comfort level and interpersonal skills to liaise with aviation providers or flight crews is a significant asset.

Compensation & Benefits
- Salary: $70,000-$85,000 - The compensation for this role is reflective of the successful candidates, skills, abilities, education, market analysis and internal equity and other role specific considerations.
