Overview
We're looking for a highly organized, proactive, and hands-on Shop Operations Assistant to help keep our fabrication shop and warehouse running efficiently.
This role is ideal for someone who enjoys balancing organization and administration with physical, hands-on work. One day you may be coordinating shop schedules and tracking expenses, while the next you're unloading trucks, organizing inventory, preparing materials for upcoming events, while maintaining the organization of the warehouse.
You'll work closely with our Director of Project Management, shop leadership, project managers, and fabrication team to ensure projects move smoothly from planning through execution.
Responsibilities Shop Operations & Administration
- Serve as the primary liaison between shop leadership, project management, and the account team.
- Act as the central point of communication for shop requests and project briefs coming from internal account teams.
- Assist with prioritizing and delegating shop work based on team capacity and project timelines.
- Support shop management with expense tracking, purchase logs, and administrative reporting.
- Maintain organized documentation and ensure information is communicated accurately across departments.
Warehouse & Shop Support
- Assist with loading and unloading trucks for events and client projects.
- Organize, receive, and store materials, equipment, and client assets.
- Help prepare event materials, build components, and shipments.
- Maintain accurate inventory and assist with tracking client assets.
- Keep the warehouse, fabrication shop, and storage areas organized, clean, and safe.
- Assist with moving large materials, furniture, and custom-built assets throughout the shop.
- Support shop builds and installations as needed.
- Help identify damaged equipment or assets requiring repair.
- Assist with event load-ins, load-outs, and onsite installations when required.
- Follow all warehouse safety procedures and help maintain a safe working environment.
Basic Qualifications
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
- Ability to balance administrative responsibilities with hands-on warehouse and shop duties.
- Strong verbal and written communication skills, with the ability to collaborate effectively across multiple departments.
- Excellent problem-solving skills and the ability to take initiative in a fast-paced environment.
- Ability to adapt to changing priorities and thrive in a dynamic, project-based workplace.
- Ability to safely lift, move, and organize equipment, materials, and inventory as required.
- Proficiency with Google Workspace and common office software, including spreadsheets, email, and document management.
- Strong attention to detail with excellent follow-through and organizational skills.
- Ability to work independently while contributing positively as part of a collaborative team.
Preferred Qualifications
- Experience in warehouse operations, logistics, fabrication, construction, or event production.
- Administrative or operations coordination experience.
- Proficiency in Basecamp considered an asset.
- Experience with inventory management.
- Comfortable using hand and power tools.
- Forklift certification (or willingness to obtain).
- Valid G driver's licence.
- Comfortable driving cargo vans or larger vehicles is considered an asset.
- Flexibility to occasionally work evenings and weekends for event support.
