Specific Duties and Responsibilities:
- Maintain office services by organizing office operations and procedures
- Maintenance of Fleet via safety inspection + monthly maintenance reminders
- Maintenance of Driver records – ensuring all documentation remains up to date including but not limited to Driver’s Licence, Transportation of Dangerous Goods, Medical Records
- Ability to translate any and all corporate memos from English to French
- Truck/Trailer Files (Physical & Fleet Database)
- Safety manuals printing for new hired Broker/Driver and related equipment
- MMR & Reminders
- Annuals/Semi-Annuals Inspections for truck/trailers Ontario only.
- Lease Agreements and followup with leasing companies
- File repair Invoices/Renewals
- Weekly National Update (Ontario Only)
- Carriers Edge training/assigning and follow-up with drivers
- Issue Repair PO for Ontario and Quebec
- Plating/removing units Ontario only
- Level -II CVOR monthly update
- HR Downloads
- Breakdown Tracker for tucks and trailers
- Daily Trailer Tracking
- Update dashboard daily yard check
- Weekly safety meeting
- New Geotab Dash cam installation/removals and follow up with the Installers
- Decals printing and delivery to brokers
- Assume any other assigned and related tasks as directed
EDUCATION (THEORETICAL TRAINING):
- Minimum High School Diploma
- Post-secondary certificate or diploma in Business Administration or Accounting as an asset
JOB REQUIREMENTS / EXPERIENCE:
- Must be bilingual,specifically English and French
- Must have at least 2 years experience in Administration
- Must be extremely organized with a high attention to detail
- Must be proficient in Microsoft Office including but not limited to: Word, Power Point, Excel, and Outlook
- Ability to work well in a fast-paced environment, with strict time constraints
- Ability to multitask to meet priorities and commitments
- Must be a problem solver
- Consistent work habits with fine attention to detail
- Superior customer relationship skills
