Position Summary
Reporting to the Associate Director, HRIS and Operations, the HRIS Support Analyst provides day-to-day operations support to the HRIS team, including troubleshooting and testing, report validation and submission, user/data security, training documentation and instructions, and all HRIS projects including upgrades, enhancements and new functionality.
Responsibilities
- Provides 2nd level troubleshooting support for end users within the HRIS system (i.e. FLAC, EPAF, Salary Calculation, PTE, and Faculty Creation)
- Review errors, test or replicate to determine if there is an underlying system failure.
- Performs testing for new functionality, upgrades, enhancements and fixes. Builds scenarios for unit and report tests, performs test cases, verify and log issues and results
- Compiles project reports for review by Project Manager and team
- Drafts and/or edits user training materials including manuals and other learning tools to reflect system upgrades, enhancements or process reengineering
- Runs, audits and revises all scheduled union reports (Academic, Support and PT Support). Ensure on-time submission to partners including seniority list, service reports, partial load registration etc.
- Coordinates the data collection, verification and submission of HRIS data into the Annual College Council Survey (for College funding)
- Conducts training workshops for end users. Draft and maintain user documentation and reports for new and revised processes
- Liaises between HR/Payroll functional users, Information Technology (IT) Specialists and Analysts, and other cross functional members of the ARP and ARP-Project Implementation Enhancements
- Develops and lead an end-user support group to gather feedback on effectiveness of FLAC modules.
- Tracks ongoing quality concerns as received through meetings or day-to-day operations. Provides input and recommendations to HRIS team to resolve system inefficiencies, improve customer service or better meet client needs
Qualifications/Experience
- 3-year diploma in a relevant field including Project Management, Communications, Business-Information Systems or Computer/Analyst Program, or equivalent combination of education and experience
- Minimum 3 years of related experience in a high-volume customer support role, with demonstrated experience working with an HRIS and related systems (FLAC, EPAF, AISMartR (Cognos BI))
- Project Management Certification or a PCP Designation is an asset
- Experience with Banner systems and business processes including FLAC, Salary Calculator, Positive time entry, and EPAF are a strong asset
- Proficiency in solving end-user problems with an integrated payroll and HRIS system; building test scenarios and testing new system enhancements, managing data and ensuring accuracy of report generation
- Demonstrated experience developing process documentation, training materials and user guides
- Training experience is a strong asset
- Strong analytical, critical thinking and independent judgement skills to solve end-user problems
- Participation, as a team member, through an HRIS project, system enhancement or upgrade
- Strong customer service and continuous improvement orientation
- Experience documenting business requirements for reports with ability to build complex reports using report writer.
- Able to facilitate discussion groups
